Responsible for establishing routing through SharePoint all documents included in the Board packet for review, editing, and approval by Managers, Officers, Assistant Deputy Directors, Executive Assistant, and Executive Director.
Responsible for tracking work in progress and deadlines for Board of Directors meeting packets, Committee meeting packets, and reports. Expedites flow of work and initiates follow-up when necessary. Manages checklists to ensure deadlines/duties are all met.
Provides administrative support with the Board of Director’s meeting preparation as well as committee meeting preparation activities.
Prepares Board Committee meeting, agendas, minutes, and presentations.
Assists with Open Meetings Act for Board of Directors meetings, Committee meetings, and other Board events. This includes posting of meetings with the Secretary of State, at the NTMWD, and on the NTMWD website in a timely manner.
Responsible for maintaining (filing) correspondence and documents related to Board and Committee meeting packets.
Provides support to the Executive Assistant.
Provides administrative support to the Deputy Director (Administrative Services), Assistant Deputy (Finance), and Assistant Deputy (HR & Administration)
Assists the Executive Assistant in establishing priorities and maintaining confidentiality of correspondence and/or staff business.
Responsible for answering telephone calls, including screening and ascertaining nature of calls, forwarding appropriate calls, taking messages, and conveying information.
Responds to concerns and request for information from individual Board members, staff of Member Cities and Customers, legal and engineering consultants, as well as the general public; resolves concerns or provides requested information.
Prepares and composes correspondence, memoranda, reports and other documents.
Receives and reviews incoming mail, prioritizes and distributes to appropriate personnel.
Reviews and proofreads outgoing correspondence, memoranda, and reports prepared by others to be signed by Executive Director / General Manager to ensure correctness.
Requires excellent organizational skills, effective oral and written communication skills, as well as basic mathematical calculations and the ability to interact with Staff and Board members.
Must be proficient in Microsoft Office Applications. Must have a working knowledge of the rules of grammar and practices of document preparation.
Must possess an associate’s degree in Business, or a high school diploma with 10 years of executive level administrative support.
Must possess a high school diploma or GED.
Requires a valid Texas Driver’s License.
