(GORDON) Martinsburg office, a growing engineering firm is seeking a full time Administrative Assistant/Receptionist with a minimum of 3 years’ experience in progressive administrative roles. This candidate should have strong communication skills as well as MS Office experience (Outlook, Word and Excel), and will provide support to multiple managers in a fast-paced environment with minimal supervision. Must be organized, possess excellent communication skills, be detail oriented, and be able to lift up to 15 pounds.   • MISSION

As an important member of GORDON, the Administrative Coordinator acts as the primary administrative resource for the Martinsburg WV office. This individual is responsible for the management and execution of a number of tasks and will be the initial point of contact for existing and new Clients reaching out to our office. They will be a critical part of the larger team and will be responsible to ensure all tasks are completed and followed through in a timely manner.

This position requires a pro-active approach and ability to independently carry out the duties of the position. The ideal candidate should exhibit high standards, excellent communication skills, good judgment and ability to take initiative. The ability to effectively manage time and multi-task with attention to detail is critical to this role.

  • ESSENTIAL RESPONSIBILITIES

Administration:

  • Work directly with firm principals and senior project managers.
  • Demonstrate the ability to understand client needs and to relay them to the appropriate staff.
  • Actively document all notes and action items during manager meetings and ensure all tasks are completed in a timely manner.
  • Review task assignments on a weekly basis and work directly with project managers to ensure all follow-up actions are completed within the specified time frame.
  • Responsible for correspondence, office maintenance oversight, office purchasing and sub-consultant contracts.
  • Manage travel arrangements for project managers including flights, hotels, transportation, conference registrations.
  • Maintain documentation utilizing GORDON’s file standards.
  • Prepare and deliver plan and document submissions

Client Relationship Management

  • Act as the initial point of contact for client calls and visits, working with GORDON management to ensure that the client experience is positive.
  • Establish and maintain positive relationships with existing firm clients to ensure client satisfaction.

Professional Growth & Development:

  • Provide thoughts and feedback relative to operational procedures
  • Opportunities for increasing responsibilities related to business development.

Ill. POSITION SPECIFICATIONS

Experience and Education:

  • Must have 3-5 years working in a similar capacity
  • Knowledge of the land development industry and/or federal procurement will be an asset.

Skills and Knowledge:

  • Demonstrates analytical ability, good judgment, problem solving, responsibility, personal integrity, and is able to deal with confidential information on a daily basis.
  • Must be able to exercise judgment, tact and diplomacy on behalf of management when dealing with other team members and clients
  • Proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • Excellent customer service, good oral and written communication skills.
  • Professional and articulate with strong attention to detail.
  • Ability to work efficiently, effectively and independently to see projects through to conclusion.
  • Excellent time management, strong organizational skills, ability to prioritize multiple tasks and anticipate potential problems.
