We are seeking a responsible, well-organized, and technically proficient Administrative Assistant to help with administrative tasks at our organization. The ideal candidate will be able to effectively prioritize tasks and maintain several databases by keeping them accurate and up-to-date. This is a great full-time position for any individual who is looking for a stable schedule and who likes working collaboratively with skilled professionals in property management and interacting with vendors who support them.

Primary Responsibilities:
- Heavy calendar management requiring interaction with internal executives and assistants; coordination of various complex meetings
- Answers phones/emails and directs all inquiries to appropriate party promptly and efficiently
- Assists Director of Operations (DOO) with preparation of presentation materials
- Coordinates all aspects of expense reporting and mileage reimbursements for DOOs
- Prepares and distributes meeting notes, documents, reports, and presentations using Microsoft suite of products
- Creates, organizes, maintains, and distributes management training books
- Administers employee appreciation and recognition incentives within region; occasion appropriate cards and gifts as well as ordering business cards
- Follows appropriate billing procedures for follow-up on non-covered or responsible party forms
- Surveys sites to ensure successful follow up and completion on initiatives
- Prioritizes and manages multiple projects simultaneously and follow through on issues in a timely manner
- Entrusted with highly confidential and sensitive information
- Other duties as assigned by Director of Operations

Preferred Qualifications:
- Experience with calendar management and Microsoft suite of products
- Proven energy and self-motivated individual
- Proven excellent written and oral communication skills, very strong organizational skills with ability to multi-task
- Demonstrated ability to prioritize, work independently, take initiative, and handle multiple tasks in a professional and organized manner
- Demonstrated ability to maintain professionalism and composure under stressful situations

Pay: $19.00 - $21.00 per hour
