The Executive Assistant contributes to the efficient day-to-day operations of the Global Beverage Group (GBG) and directly supports the SVP of Brand, Global Beverages Group and VP Global Portfolio Transformation.
The Executive Assistant is required to perform a range of duties including but not limited to:
Maintain content, accuracy and visual organization of files (or informational databases)
Manage, update and appropriately communicate departmental documents (i.e. weekly itinerary, organizational announcements, DL lists, service anniversary lists)
Interface appropriately with many internal and external clients, and senior executives
Provide critical coordination support for executive and coordinate with direct reports (and their administrative support) enabling broader team
Coordinate travel plans and visas (domestic and international)
Manage Visa application process as necessary and work closely with Aviation and Global Security as appropriate
Reconcile accurate monthly T&E, SAP, P-Card for the department accordingly
Serve as a resource person by contacting or responding to inquiries for the office of executives they support
Managing executive’s calendar as well as scheduling meetings and conference calls (includes staff and senior management meeting’s within PepsiCo, external suppliers and consultants) both domestically and internationally.
Coordinating staff meetings internal and external events as needed
Prepare and handle confidential and personnel information with the utmost trust
10+ years of executive assistant experience supporting executive level management
Proven track record of supporting multiple managers as well as managing multiple and competing priorities
Must be highly organized, pay close attention to details and proactively follow-up
Ability to manage workload in a fast paced and high intensity work environment
Must be able to flex schedule to meet work demands (ex. early mornings, after hours)
Proficiency using Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and MAC/Apple devices
Must be able to independently create detailed and high-quality PowerPoint presentations that include charts, graphs, other visuals, etc.
Must have strong interpersonal, time management, and resourceful problem solving skills
Ability to make clear and timely decisions
Ability to develop a work schedule, set goals, create/implement actions plans and monitor progress towards goal
Must display professional maturity and have ability to support and interact with all levels of management
Ability to change focus of work seamlessly without loss of efficiency, and adapting to unexpected request
Must be familiar with business technology including but not limited to web conferencing, eRoom, SAP, portals, etc.
Proficiency in the use of office equipment such as computer, voice messaging and digital multi-functional devices (fax/copier/scanner/printer)
Knowledge of PepsiCo Systems (T&E, SAP, Concur)
Process all POs and invoicing for respective leaders and GBG overall when necessary
