We are seeking 2 talented and dynamic Executive Administrative Assistants to support our client, the National Oceanic and Atmospheric Administration (NOAA). This positions will support the executive staff in either the Project Support Branch (Dalva) and/or Science and Engineering department. support the Communications Information Program, one of the largest operations programs in the organization. Candidates should be well-versed in MS PowerPoint and very comfortable utilizing graphics. Candidates should also consider themselves to be expert-level in MS Excel. Specific Excel work will include developing formulations/calculations and go beyond simple spreadsheet use. This role is ideal for executive assistants who are interested in delving into engaging work leveraging their initiative and resourcefulness. While currently these positions are remote, we anticipate occasions requiring on-site work at NOAA HQ based in Silver Spring, MD.
Responsibilities:
- Provide overall administrative office support i.e.clerical duties, processing time and attendance records through the WebTA system, answering phones, greeting visitors, monitoring e-mail, maintaining calendars and performing as a resource for administrative procedures:
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization. Must be able to:
- Create MSWord memos and other correspondence
- Create MSPowerPoint slide presentations using graphic designs as well as tables and charts.
- Create MSExcel spreadsheets using formulations and conditional formatting
- Maintain a record of all office communications, official records, correspondence, and approvals. Finalize correspondence in appropriate format from provided drafts.
- Arrange travel as needed through the Travel Manager system. Provide travel planning/voucher preparation support, maintain spreadsheets, ensure proper approvals are received as well as the processing of vouchers.
- Inventory, prepare order and maintain office supplies to adequately support the office. Ensure office equipment is maintained in usable condition by requesting service when necessary and replacing consumables as needed.
- Provide administrative assistance and support as necessary to support various OSGS projects including tracking pending action items, reviewing and coordinating the weekly activity report and setting up meetings and scheduling conference rooms as necessary.
- Maintain current custodial records for all accountable personal property within NESDIS/OSGS to include physically signing property down to the end user level through the use of hand receipts.
- Participate in the employee separation clearance process by ensuring that all assigned property has been accounted for, to include signing section 3 of the CD-126, Separation Clearance Certificate.
- Ensure that complete documentation is attached in Sunflower, property management system, for newly acquired property.
- Ensure that the Unreconciled Payments Report and completed actions for acquired property is done on a weekly basis.
- Prepare invoice packages for submission to NOAA Finance Office.
- Assist as necessary with budget, property, facilities and acquisitions as needed on behalf of the department.
Qualifications
- US Work authorization
- 3+ years of experience as an executive administrative assistant supporting executive teams
- Demonstrated experience with MS Office, especially expert level use of MS EXCEL and MS PowerPoint
- Familiarity with federal contracts is ideal
- Demonstrated ability to work independently
- Strong communication skills
- Ability to work independently and collaboratively
