The Program Planner and Coordinator (PPC) shall provide administrative support to prepare consolidated responses, track internal and external project actions, and provide assistance with other various tasks. The ideal candidate will conduct research and assist in the development of business and communication strategies, graphic designs, PowerPoint briefings, initiatives, and requirements. The PPC will also document and educate key stakeholders on emerging trends relevant to the organization and work with others to perform outreach to community partners. The PPC shall work with others to plan, coordinate, and support conferences; plan, schedule, attend and document meetings; draft and disseminate briefings; and make contact with stakeholders to address concerns and issues.

Key Responsibilities:
Maintains a schedule of appointments that involves determining the importance of the issues for each meeting and following protocol procedures for contacting principals;
Answers phones; places, screens, and refers calls to appropriate Agency resources; takes messages and follows-up accordingly to ensure adequate resolution of issues and concerns, for two SIS level Senior Executives in the Front Office of the Agency.
Makes appointments, travel arrangements, and itineraries; assembles or ensures that packets of information or briefing materials are prepared. Accurately prepares expense statements. Assists and informs SE of problems that arise during absences;
Drafts and prepares non-routine letters, memos, documents, and various reports requiring comprehensive knowledge of Agency methods, policies, regulations, procedures, and organization for the SE's signature;
Disseminates the executive's schedule to appropriate staff and acts as liaison between the Senior Executive and others;
Maintains an awareness of internal structural levels and hierarchy within the organization by being cognizant of internal and external Senior Executive interrelationships, styles, and methods of operations;
Maintains an efficient office environment; may include assisting in the ordering of supplies, arranging for the repair of office equipment, initiating the installation of new software, or participating in the planning and implementation of office renovation projects.

TS/SCI with Polygraph
5 years of relevant experience as an action officer, executive officer or assistant, technical officer, project or program integrator, administrative assistant
Demonstrated outstanding organizational or managerial skills to handle multiple priorities
Demonstrated ability to foster collaborative relationships
Must have a pleasant personality and strong ability to work with others in a fast-paced, dynamic environment
Must demonstrate exceptional verbal and written communication skills to develop and generate content for meetings, briefings, documents, blogs and/or websites
Demonstrated significant experience utilizing Microsoft Word, Powerpoint and Outlook

Desired Qualifications:
Bachelor's Degree
Experience working with SharePoint to upload documents and/or make minor changes to a SharePoint
Experience working with the DO
Experience using Excel and GoTravel
