Essex mortgage is hiring for our Project Manager position to assist our Servicing Department!
Job Summary:
Responsible for assigned duties within the Servicing division. The Project Manager assumes a pivotal role in overseeing the management of Bulk and Flow Mortgage Servicing Loan transfers, sourced from a variety of Mortgage Banking Institutions. This position entails providing integral support in supervising day-to-day activities concerning mortgage servicing transfers, ensuring rigorous adherence to RESPA, Investor Guidelines, CFPB regulations, and pertinent legal obligations. To excel in this role, it is imperative to foster extensive coordination with our internal stakeholders.
Within the realm of loan servicing, the Servicing Transfer Coordinator will engage in a spectrum of responsibilities, with a distinct emphasis on the seamless integration of newly acquired loans. Tasks align with Essex's established policies and procedures while maintaining compliance with state and federal regulations. It will also be important to understand prior servicer practices that may impact future servicing, ensuring images data and reporting are timely and completely received.
Essential Duties:
- Coordinating the delivery, setup, and research of servicing transfers and acquisitions of loan portfolios.
- Analyzing the practices and procedures of servicers to ensure a seamless transfer process.
- Reconciling funding schedules with servicing transfer reports from sellers and/or investors.
- Conducting research and resolving variances in loan documentation before and after loan boarding.
- Collaborating directly with target audiences and subject matter experts to identify needs, establish tasks and milestones, and gather relevant information for communication, policies, and procedures development.
- Generating moderately complex internal communications to inform each business unit of current servicing transfers.
- Serving as the primary point of contact for Essex business units, servicers, and vendors.
- Ensuring compliance with regulatory guidelines.
- Facilitating conference calls before and after transfers.
- Updating and maintaining essential transfer documents, including project plans, servicing questionnaires, transfer instructions, and process and procedures documents.
- Monitoring transfer tasks closely to ensure all timelines are met and updating the task tracker accordingly.
- Assisting with pre- and post-transfer reconciliations.
- Preparing and distributing executive summaries to internal partners, highlighting key attributes relevant to the transfer.
- Resolve complex loan level requests, utilizing expertise and judgement to both identify and correct the loan
General Duties
- Support testing efforts for all system-related updates.
- Work with the appropriate departments to facilitate a smooth and timely response to all audit requests.
- Report status and results of the Servicing Units’ activities.
- Assist with creating or updating departmental procedures.
- Responsible for updating "How To" procedures and creating "How To" job aid procedures for areas of knowledge.
- Process requests received in group mailbox.
- Complete all compliance training in a timely manner.
- Flexibility in helping out in other areas/departments.
- Oversee training for all assigned areas and ensures that all department policies and procedures are updated and communicated.
- Perform other duties as assigned.
Education and Experience
- Two+ years mortgage experience is preferred
- Ability to build rapport quickly to convert inquiries into proper transfers to departments/agents for resolution
- Bachelors or relevant experience in the field.
- Ability to multitask and effectively manage time.
- Ability to communicate effectively – both in written and verbal form.
- Desire to take personal responsibility to complete tasks and solve problems.
- Excellent organizational skills and strong work ethic.
- Ability to remain professional even under strenuous situations.

Computer and Equipment Skills
- Intermediate in Microsoft Office programs (Word, Excel, PowerPoint)
- Word processing (speed and accuracy)
- MSP or FICS’ Mortgage Servicer a plus

- Use typical office equipment (computers, fax, phones, copiers, scanners, projectors, etc.)
Reasoning and Mental Abilities
- Uses critical thinking skills to interpret instructions furnished in written, oral, diagram, or schedule form and to analyze complex documents like contracts and technical directions.
Physical Abilities:
- Vision (with or without correction) sufficient to read a computer screen at 20 inches and to operate office equipment or a car
- Clear speaking on the telephone and in person; hearing within normal ranges in noise environments typical of office
- Able to sit for long periods of time at computer or other work station and in meetings
- Able to finger and feel in order to use equipment, computers and operate equipment
- Able to lift 10 pounds occasionally unassisted.
