The part-time Office Assistant performs a range of financial and clerical tasks for the Finance Department; supports treasury management, cash receipting and property tax collection functions.
This position will work a set 20 hours per week; 4 hours per day during normal business hours. The schedule can be flexible, but it is preferred that the person works 11:00am to 3:30pm, M-F. Additional hours may be required in December and other periods of peak volumes, with the potential for weekend or holiday hours.
The following are normal for the position but shall not be construed as exclusive or inclusive. Other related duties may be required and assigned.
Support the treasury management function of the department by accepting and receipting, in a timely manner and accurate manner, funds on behalf of City for payment of property taxes, water utility bills, special assessment bills, miscellaneous invoices and other revenues.
Issue pet licenses, recycling center permits and parking permits.
Utilize financial software and web applications to record payments, update property tax records, post general ledger entries, prepare bank deposits, create invoices, update customer information, research customer issues and perform reconciliations.
Assist with daily balancing of cash receipts and preparation of bank deposits.
Prepare various financial and property status reports and maintain electronic records.
Provide service and issue resolution to both internal and external customers in person and on the telephone.
Identify processes that can be automated or made more efficient. Implement process improvements and maintain procedures.
Perform clerical functions such as sorting mail and filing.
Provide coverage for other clerical staff in the Finance Department as needed, depending on work volumes and staff availability.
HS Diploma or equivalent.
Proficiency in Microsoft Office Suite, strong proficiency in Excel.
Ability to make numerical computations with speed and accuracy and ability reconcile large volumes of financial data.
Ability to work independently with little supervision, manage time and priorities and multitask in an environment with frequent interruptions.
Ability to resolve customer issues independently and escalate issues to management as necessary.
Strong data entry skills and the ability to utilize web-based or other electronic financial applications and quickly learn how to use and support new software tools.
Ability to maintain complex clerical records and prepare reports; ability to discern between public information and confidential financial information.
Associate's Degree in a related field or related coursework beyond high school preferred.
Two years of related experience (bookkeeping, banking or collections) and prior cash handling experience is preferred.
Experience with finance, banking and accounting software strongly preferred; proficiency in Microsoft Access.
Knowledge of bookkeeping principles, practices and methods is preferred.
