An excellent opportunity awaits a skilled administrative assistant! Our Return to Work (RTW) Partnerships program, within the Insurance Services Division, has a great opportunity for an Administrative Assistant 4.
The success of the RTW Partnerships Program contributes directly to our agency's priority of preventing long-term disability and supporting the state's economic well-being. You'll serve as a support member of the program's management team, provide support to the Chief of RTW Partnerships, and coordinate administrative support for all aspects of the program, including the Private Sector Compliance and Outreach Programs, to ensure effective and consistent quality of work.
Some of what you will do:
Provide high-level administration and management support to the Chief. This may include, but not be limited to, calendar and email management, scheduling travel arrangements, arranging meeting and drafting correspondence.
Provide administrative support for the organization and planning of twice-yearly major conference for external service providers.
Delegate assignments to appropriate staff, develop strategies, procedures, and workflows.
Plan and prioritize work and projects, maintain tracking systems, monitor deadlines and project needs.
Research and review policies and procedures, determine if agreements, requests and processes comply with department administrative policies.
Prepare and coordinate routing on fiscal notes and legislative bill analyses and correspondence
Coordinate meetings (including internal and external stakeholders) and provide administrative support
Prepare budgets and request packages
Communicate with various stakeholders, executive managers, and team members
Who should apply?
Administrative professionals with a high school diploma or equivalent and a minimum of one year experience performing as an Administrative Assistant 3 or four years of administrative office clerical experience.
Here's what we're looking for:
A leader by example. Ability to lead, coach, mentor and inspire excellence.
Skilled/Advance level skills using Word, PowerPoint and Excel.
Ability to type 50 wpm with accuracy.
Experience supporting program(s)/business areas involved in large scale project development and implementation and delivery of services.
Working knowledge of: office procedures and practices; business management practices, research methods and data collections; communication and correspondence practices.
Ability to work independently; read, understand, and interpret policies and procedures; develop written reports; work effectively with others; communicate effectively, both in writing and speech.
Experience coordinating personnel issues such as recruitment, selection, appointment, and promotion
Experience serving as the primary contact in an assigned program area
Knowledge of proper business correspondence construction, including grammar and layout.
