We are currently seeking an enthusiastic Executive Assistant & Office Manager to be the welcoming face of Resonate and support our Executive team. This role is critical to the daily success of our company and is one that supports all employees. This role combines traditional Executive Assistant tasks with Office Management and Event Planning. As Resonate’s EA, you will be responsible for providing administrative support to Resonate’s Executive Staff in a professional, efficient, and confidential manner. As Office Manager, you will own all office management functions to ensure that our offices have what they need to be productive and efficient, as well as support the greater G&A teams (Human Resources and Accounting) on a day-to-day basis. This role will also own the planning of company events for our employees.

Key Responsibilities

Manage and coordinate various duties for C-Level Executives, including but not limited to:
Manage daily calendars and coordinate planning of internal and external meetings and/or conference calls
Make travel arrangements including airlines, hotels, and meeting itineraries
Complete and track monthly expense reports
Arrange and prepare for all Board meetings
Maintain all communication with Board Members’ EAs to schedule regular meetings
Serve as the company Receptionist, answer phone, greet guests, pick-up and deliver mail.
Maintain an orderly and professional office environment every day, including conference room and supply room.
Assist, lead and/or coordinate various and assorted events, including bi-annual company events, quarterly board meetings, and other projects as needs arise.
Manage office logistics for all 3 Resonate offices (Reston, DC and NYC).
Responsible for ordering office supplies for all 3 Resonate offices.
Manage office and kitchen supplies, ensuring adequate amount of supplies on hand and available to all employees at all times. This includes maintaining the organization of supplies to know when volume is low.
Maintain and work within set budgets for office supplies and all company events planned.
Support Accounting team with weekly/monthly processes including, but not limited to:
Maintaining records of spending on Corporate Amex accounts
Assist with signing and mailing of bi-monthly A/P check runs
Maintain records, contact management/storage, and files for executives and other departments.
Assist other teams with ad hoc projects, as needed.
Order lunch for weekly meetings as needed.
Qualifications & Experience Requirements

Strong interpersonal skills and demonstrated commitment to customer service.
Perform tasks with a positive and cooperative attitude.
Excellent time management skills, with ability to juggle multiple priorities and complete tasks on time.
Self-starter, able to work effectively both independently and as part of a team.
Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
Demonstrates proficient oral and written communication skills.
Attention to detail and adept at problem-solving.
Ability to work in a fast-paced environment, at times juggling many initiatives at once.
Educational Requirements

Bachelor’s degree preferred and/or equivalent work experience a must.
