Proposal Coordinator & Marketing Support - Houston, Texas
The Proposal Coordinator & Marketing Support position will be responsible for leading the development and coordination of proposals, presentations, and marketing collateral for the company. The ideal candidate will think strategically, maintain flexibility, take initiative, and has the ability to shift priorities frequently while maintaining attention to detail and achieving high quality standards. The success of this position requires attention to detail and proven time management skills. A proactive, team approach will be vital in growing the client base of AG|CM.

2+ years of experience with RFP/RFQ coordination, creation, production, assembly, and delivery
2+ years of experience in development and/or maintenance of a proposal library and database
2+ years of experience in creation and implementation of a proposal checklist
2+ years of experience in preparing proposals in designated software to include experience with Adobe InDesign

Bachelor’s Degree in Business, Marketing, Graphic Design, or comparable focus
Experience with strategy development/account management within a construction management firm is a significant plus
Experience with corporate social media accounts, marketing blitzes, website design, and other digital media is a plus
ESSENTIAL JOB FUNCTIONS:
Prepares responses to Request for Proposals (RFP), Request for Qualifications (RFQ), and similar procurements in the requested formats (e.g. SF 330). Coordinates with in-house staff, proposed team members, sub consultants, and posting entities as appropriate to ensure compete and compliant responses that are delivered on-time
Identifies and reinforces winning messages and strategies in all marketing deliverables
Leads, coordinates, and manages production of proposals, presentations, and marketing collateral
Proofreads and edits technical and non-technical pursuit documents for accuracy and consistency
Has the ability to read and comprehend complex RFQs for review, categorization, and analysis of what the end product will need to look like with on-time delivery
Creates collateral materials at the macro and micro levels to support companywide efforts in marketing to, attracting, or maintaining business relationships
Keeps the needed team members up-to-date on the status of any requested proposals or RFP/RFQ work in the pipeline
Incorporates customer needs and input/feedback from both internal and external groups, schedules debriefs, and tracks client feedback
Creates and implements a proposal checklist and update regularly during the proposal process
Schedules and leads a kick-off meeting and deliver checklists post kick-off with assignments and deadlines.
Manages and tracks outsourced proposals when needed and/or working with third-party consultants to minimize billing hours and duplication of work
Develops interview materials such as PowerPoint presentations, boards, and leave-behinds
Creates project descriptions and resumes by interviewing project personnel and reviewing existing documents; performs other writing and editing assignments as needed
Registers for conferences, including itinerary, travel, hotels, and present as event contact. Also coordinates all event content to include collateral materials, brochures, and giveaways. Tracks costs for annual budgeting
Keeps in touch with team to schedule updates to job site photos, completion schedules, what information can be published or must be kept confidential
May be called to assist with the marketing team to support effective marketing strategies
Positively demonstrates AG|CM’s mission, vision, value statements, reputation, code of ethics, standards, policies and procedures internally and throughout the marketplace, confidentiality, and operating instructions
PHYSICAL ABILITIES AND REQUIREMENTS:

Stooping: Bending body downward and forward by bending spine at the waist

Light Work: Exerting 10 pounds of force frequently ad lifting up to 20 pounds occasionally
Visual Acuity: Requirements include color, depth perception, and field vision. Close visual acuity will be needed to perform an activity such as; preparing and analyzing data and figures, transcription, viewing a computer terminal for long periods, extensive reading, visual inspection involving proofreading, and operate a motor vehicle
Conditions: Position is mostly indoor, but may require outside activity thereby being subject to both indoor and outdoor activities
