GENERAL PURPOSE: Under general supervision, serves as the initial point of contact in the Civic/Convention Center; performs a variety of administrative and support functions, and maintains a beverage service program to ensure excellent customer service for clients, guests and vendors.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Assists in ensuring the consistent delivery of high quality events and services to all clients in a professional, safe facility for vendors, guests and the community.
  • Answers and directs incoming telephone calls and walk-in customers; provides information and assistance to the public in person, by email, and via telephone; and greets visitors.
  • Conducts a variety of general reception office duties including data entry, filing and copying documents, organizing event paperwork, preparing correspondence and receipt of deliveries.
  • Fulfills beverage service requests to events, including setting up a beverage station with appropriate equipment, replenishing as needed or instructed, periodically checking the cleanliness of the area, disposing of trash in event rooms and common areas.
  • Maintains cleanliness, safety and organization of office and beverage service supplies, and audio/visual as needed.
  • Stocks and orders office and beverage supplies based on established par levels, as approved by the Center Manager.
  • Provides information to the public; presents facility information and performs facility tours in the absence of the Event Coordinator. Assists in local marketing efforts, including social media.
  • Performs general accounting and bookkeeping duties; accepts and processes payments; processes and prepares invoices, purchase orders, payment requests, receipts, deposits and balances cash reports.
  • Schedules digital signage and HVAC operations; prints event signage and calendars.
  • Responds to client, guest and management requests in a timely and professional manner.
  • May assist in setting-up and breaking down for meetings and events, as well as cleaning rooms and common areas for events as needed and/or instructed.
  • Maintains a professional relationship with City of New Braunfels employees, vendors and clients.
  • Performs other duties as assigned and or required.
MINIMUM QUALIFICATIONS:
Education and Experience:
High School diploma or GED equivalent, AND at least one (1) year experience in a public facility or other service-focused position. Knowledge of the characteristics of a public event facility and service methods highly preferred.

PREFERRED QUALIFICATIONS:Experience:
Three (3) years of hospitality experience (such as in an event facility, restaurant, hotel or catering company).
Bilingual highly preferred.

Required Licenses or Certifications:
  • Must possess a valid Texas Driver’s License.
  • Must obtain a current Food Handlers Certification upon hire.
Required Knowledge of:
  • Methods for delivering excellent customer service.
  • General office practices and equipment.
  • Standard computer software applications.
  • Safe and clean delivery of food and/or beverages in a business serving the general public.
Required Skill in:
  • Effective communication skills, both verbal and written for positive relationships with employees, citizens, and the general public.
  • Coordinating and performing a variety of general administrative functions.
  • Performing routine accounting duties.
Physical Demands / Work Environment:
  • Work is performed in a public facility and office environment; is subject to sitting, standing, bending and reaching for extended periods of time; and must be able to safely pull, push lift and carry items weighing up to forty (40) pounds.
  • Must be able to work weekdays, weekends, and holidays on any assigned shift as needed per event; work hours are primarily Monday-Friday from 8:00AM-5:00PM.
  • May be required to work immediately before, during or immediately after an emergency or disaster.
RESPONSIBILITIES
