As an Orthopedic Surgery Scheduler, you will play a crucial role in ensuring the efficient coordination and scheduling of surgeries within an orthopedic surgery department. You will work closely with orthopedic surgeons, medical staff, patients, and other healthcare professionals to facilitate smooth and organized surgical procedures. Your primary responsibility will be to manage the surgical schedule and optimize patient flow while adhering to departmental protocols and guidelines.
Responsibilities:
Surgical Schedule Management: Coordinate and manage the scheduling of orthopedic surgeries, considering surgeon availability, operating room availability, and patient preferences. Ensure that the surgical schedule is organized, balanced, and updated accurately in a timely manner.
Patient Coordination: Communicate with patients to schedule surgeries, explaining pre-operative instructions, addressing questions or concerns, and providing necessary documentation. Obtain patient information, including medical history, and consent forms, ensuring accuracy and compliance with legal and hospital requirements.
Collaborative Communication: Liaise with orthopedic surgeons, medical staff, and other healthcare professionals to coordinate surgery details, including surgical supplies, equipment availability, anesthesia requirements, and patient-specific needs. Facilitate effective communication to ensure all stakeholders are well-informed and prepared for scheduled surgeries.
Pre-operative Preparation: Assist in pre-operative preparations by ensuring required pre-operative tests, consultations, and clearances are scheduled and completed in a timely manner. Coordinate with diagnostic facilities, laboratory services, and other departments to ensure all necessary pre-operative procedures are carried out efficiently.
Documentation and Record Keeping: Maintain accurate and up-to-date records of surgery schedules, patient information, and related documentation. Ensure confidentiality and compliance with HIPAA regulations while handling sensitive patient data.
Problem Resolution: Proactively identify and address scheduling conflicts, logistical issues, and any other challenges that may arise during the surgical scheduling process. Collaborate with the appropriate individuals to resolve conflicts and make necessary adjustments to the surgical schedule.
Continuous Improvement: Identify opportunities for process improvements and contribute to enhancing the efficiency and effectiveness of the surgical scheduling workflow. Collaborate with the surgical team and management to implement best practices and streamline processes.
Requirements:
- High school diploma or equivalent; additional relevant education or certification is a plus.
- Previous experience in a healthcare or medical office setting, preferably in surgical scheduling or a related role.
- Solid understanding of medical terminology, surgical procedures, and orthopedic terminology is highly desirable.
- Proficient computer skills and experience with scheduling software, electronic medical records (EMR), and office productivity tools.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Strong interpersonal and communication skills to interact with patients, medical staff, and other stakeholders professionally and compassionately.
- Attention to detail and accuracy in maintaining records and managing scheduling information.
- Ability to handle sensitive and confidential information with utmost discretion.
- Flexibility to adapt to changing priorities and willingness to work occasional evenings or weekends if necessary.
