The Operations department is responsible for Distribution Logistics, Digital Production, International Content & Localization, Customer Care & Loss Prevention, International Operations and Quality & Innovation.

Role purpose: We are seeking to hire a Shipping Assistant to facilitate the seamless flow of Inbound stock Imports.

Key Responsibilities:
Liaise with Editorial, internal PR, Marketing & Samples and carriers on a daily basis, guiding in all Sample call ins and checking all applicable documentation is in place and fully compliant for Import.
Anticipate, identify and resolve problems that could delay the release or movement of shipments.
Provide accurate Import Clearance Instructions to Carriers for all types of stock / sample imports utilizing and maintaining duty relief schemes/TI etc.
Ensuring all Imports and exports are both customs compliant and cost effective.
Ensure all exports are prepared and dispatched in a timely and cost effective manner.
Keep accurate records and audit trails of all applicable movements.
Prepare Carnet applications.
Administer all Carnet discharges and related records.
Check accuracy of carrier invoices (NON DHL)
Preparation of information and reporting for Editorial, Trade & Transport and Compliance Managers.
Conduct regular audits, ensuring incorrect submissions are corrected with Customs.
Liaison between brands and Managing Editor to complete administration related to product loan.
Ensure good inter and intra team communication.
Essential Skills & Requirements

Working knowledge of International Customs laws/regulations and export compliance policies, documentation and processes in particular specialist knowledge in Samples, TI, Carnets, RGR and other duty relief schemes.
Understanding of Export documentation and procedures.
Full knowledge of WTO valuation regulations.
Full knowledge of global HTS.
Excellent communication skills.
Knowledge and/or experience of editorial practices preferred.
A strong organizer, efficient worker who is detail orientated and methodical.
Ability to multi task and prioritize heavy workload.
Ability to identify problems, demonstrate use of initiative and implement appropriate solutions.
An interest in and/or awareness of Continuous Improvement strategies.
Good technical knowledge.
Excellent computer skills, essentially Excel, Carrier software.
Some travel between locations required.

You will be based in our Mahwah, NJ location


You will work 37.5 hours per week, Monday to Friday
