Basic Job Function
University of Fort Lauderdale is seeking a Secretary/Administrative Assistant. This position is responsible for the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will assist colleagues and executives by supporting them with planning and distributing information. You will be the point of reference for all queries, requests, or issues and will be an integral part of the company’s workforce.
Answer phone calls and redirect them when necessary
Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
Prepare and disseminate correspondence, memos, and forms
File and update contact information of employees, customers, suppliers and external partners
Support and facilitate the completion of regular reports
Develop and maintain a filing system
Check frequently the levels of office supplies and place appropriate orders
Make travel arrangements
Document expenses and hand in reports
Oversee and support all administrative duties in the office and ensure that office is operating smoothly
Manage office supplies inventory and place orders as necessary
Perform receptionist duties: greet visitors, and answer and direct phone calls
Receive and sort incoming mail and deliveries, and manage outgoing mail
Develop office policies and procedures, and ensure they are implemented appropriately
Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
Identify opportunities for process and office management improvements, and design and implement new systems
Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
Participating in the development and execution of onboarding and orientation programs and procedures for new employees.
Posting and advertising open positions and assisting in the recruitment process.
Preparing and maintaining job documentation, job evaluation.
Checking applicant references
Other duties as assigned.
Direct experience as a secretary or administrative assistant. Intimately familiar with Microsoft office suite and windows. Must be able to effectively plan and implement projects, with attention to detail and accuracy. Must possess the ability to schedule own time, be proactive, work under pressure, meet deadlines, and set priorities without direct supervision. Excellent interpersonal, communication, and writing skills required.
