CGH has an exciting opportunity for a seasoned Executive Assistant to join the CGH Team.
This position is responsible for providing executive administrative support to the Federal Aviation Administration (FAA) staff through a government contract. The ideal candidate will provide support by performing a variety of organizational and program support functions necessary for the day-to-day operations of the ATO office.
Manage appointments and calendars for Director, Managers, and associated staff
Develop and prepare executive level briefing packages, brochures, hand-outs, and other information materials in various mediums.
Establish a tracking mechanism for Directorate and Group assignments and coordinate with those responsible to ensure timely and accurate completions.
Support logistical coordination and hosting of events, trainings, conference, workshops, panels, etc. at customer site.
Plan and schedule conferences and meetings including meeting accommodations, the documentation of background and support material, provide origanization and administrative support and post-meeting activity events.
Coordinate Directorate and Group All Hands, group meetings and events.
Create, write/edit documents, as required, and maintain information to be shared with customers, as appropriate.
Manage E2, travel authorizations/vouchers, travel itineraries.
Review incoming and outgoing correspondence, and determine appropriate actions based on the content of the correspondence.
Research issues and policies in order to prepare responses to correspondence; and update and maintain electronic office records/filing systems.
Assist staff to plan and use resources efficiently.
Identify and request additional resources as needed, i.e. supply ordering.
Ensuring printers are functioning, printing supplies are on-site (toner, paper), and coordinating with IT Help Desk to report and track any printer problems.
Provide executive-level briefs, complete with appropriate attachments, data, etc.
Create, review, and edit Directorate/Group documents to ensure clarity and appropriate grammer/word usage.
Number of Years Experience Required:
8+ years of experience
Minimum Education and Certifications Required:
Bachelor's degree preferred.
Technical Skills Required:
Expert proficiency in Microsoft Office (Word, Excel, PowerPoint, Access, Outlook)
Proficient in GovTrip
Other Knowledge, Skills, and Abilities Required:
U.S. Citizen or person with valid U.S. Work Visa who has lived in the U.S. for three or more years.
Strong multitasking, organizational, and analytical skills required.
Strong editing skills for written documents/deliverables.
Ability to work in a fast-paced, changing environment.
Proactively stays in communication with Director, Managers regarding work assignments, status, priorities, and potential conflicts.Professionalism is a MUST.
Excellent written and oral communication skills required.
FAA experience preferred.
Candidates selected will be subject to a Government background investigation and must meet eligibility requirements.
