The Office Staff Coordinator functions as a Team Leader within the Perioperative care team in the Department of Perioperative Services, whose members reflect a culture of cooperation, enthusiasm, and mutual respect. The team consisting of the Patient Care Coordinator ? Registered Nurse (PCC-RN), the Surgical Technologist, the Perioperative Technician, Nurse Manager, Ambulatory Surgery, Nurse Manager, Post Anesthesia Care and Preoperative Holding, Operational Manager Operating Room UH, Clinical Director, Anesthesia, Operational Manager, Ross Operating Room, Operational Manager, James Operating Room, Perioperative Technicians, Manager OR Information Systems, Centralized Scheduling, physicians, physician office personnel, personnel working in the patient waiting area and Clerical Specialists, provides patient care and supportive services that are directed toward achievement of quality patient care outcomes, improvement of service levels, reduction of length of hospitalization and reduction of costs. Patients and their family will experience the benefit of patient focused care through the integrated skills of all care team members. The operating rooms, located on the fourth floor of Doan and Rhodes Hall, consist of 22 operating rooms with an additional 4 operating rooms on the fifth floor of Doan Hall. The operating room is staffed 24 hours per day for primarily adult patients requiring surgical intervention. Position Summary The Office Staff Coordinator performs a variety of information processing and communication related functions. The Lead Information specialist is responsible for Maintaining the OR Allocation Grid, Identifying departmental needs related to the Allocation Grid, Forward Thinking and Planning, and Troubleshooting any issues related to the OR Allocation Grid. The Office Staff Coordinator promotes a positive attitude to staff, families, patient/guest/ and all other customers. The Office Staff Coordinator provides training and on-going mentoring for all information associates working in the operating room. The Office Staff Coordinator is also responsible for all duties carried out by the information associate this includes assisting in the data collection/information transference of patient information and documentation to facilitate the flow of the patient through the perioperative process. They provide varied clerical support under the direction of the Nurse Manager, PCC-RN, and in collaboration with other members of the patient focused care team. Overall responsibilities include: communication liaison with information dissemination, verifications of forms for accuracy and completeness, patient tracking and processing of orders. One major focus of this position is assisting with the scheduling of surgical cases while in direct communication with centralized scheduling and the surgeon?s scheduling secretaries. This position is responsible for the scheduling of next day cases, and adding and removing procedures for any day that follows, as well as emergent add-on cases. Through direct communication with Centralized scheduling, surgeons, anesthesia, and management, this person will assist with any scheduling issues and concerns occurring on any day surgery is scheduled. This person must have excellent communication skills in dealing with all members of the surgical team as well as outside supportive areas.
Education and experience
One year office and/or operations experience (1000 hours training &/or course work) including general office support, monitoring and processing budget and accounting information, providing customer service; 6 mos. experience (600 hours training &/or course work) in staff supervision, training and development; or equivalent combination of education and experience. Additional Qualifications: Some positions require 3 mos experience (300 hours course work) analyzing and interpreting data and/or managing and generating budget documents consistent with position description. Qualified candidates may be asked to complete a pre-employment physical including a drug screen and background check.
