Office Manager
Position starting January 2020

Position Responsibilities: This role will have responsibilities in managing and assisting in a wide variety of areas in the company including the following
1. Office Manager
2. Accounts Payable
3. Marketing – Social Media
4. Insurance Coordination
5. Staffing

Key Results Areas:
1. People: Motto – communicating & developing
a. Client Relations and Communication: Provide world-class service to clients
i. Communicates with and welcomes clients in a professional manner by answers phone calls within 2 rings with a smile, responds to Client Emails and Voicemails as soon as possible (within 8 business hours or less).
ii. Collects client information accurately
iii. Schedules & Confirms meetings
iv. Prepares and sends client end-of-job items (thank you cards, gifts, surveys)
b. Management: Communicates with Ferguson Builder management team in a timely manner.
i. Comes prepared for leader meetings. Assists with note-taking. Assists with meeting/training preparation.
ii. Debriefs him/her on tasks.
iii. Schedules and communicates
c. Ferguson Builders’ Team: Assists others on the team in the Ferguson Builders and personalized manner to help them better fulfil their KRAs.

i. Assists with hiring and managing team members including but not limited to: recruiting, selecting, onboarding, and benefits coordination
ii. Knowing/understanding/listening to team members
iii. Prepares paperwork for team meetings
d. Subcontractor/ Vendors: Develop and bolster/strengthen relationships with vendors and subcontractors in a Ferguson Builders and personalized manner to better fulfil the Project KRAs (see below).

2. Project: Motto – delivering quality while increasing profits
a. Office: Creates an atmosphere that is welcoming and professional.
i. Keeps office organized, tidy, and maintains a proper stock of office supplies
ii. Manages and/or self-performs office cleaning.
iii. Prepares office for guests and offers a professional welcome as guests arrive.
iv. Develops and/or improves processes for optimal efficiency and care for clients, team, subs, and vendors.
b. Personal Assistant:
i. Assists with client information & scheduling (contracts, reports, etc.)
ii. Proofreads and prepares documents for meetings (IC Sheets, contracts, training material, etc.)
iii. Creates various reports
c. Accounts Payable: Prepares, collects, and organizes paperwork and electronic data.
i. Maintains current subcontractor paperwork (Certificates of Insurance, W9s, subcontractor agreements)
ii. Maintains organized records of all purchases and payments
iii. Pays vendor accounts on time and subcontractors in a timely manner
iv. Prepares accounts for reconciliation
d. Insurance: Prepares, collects, and organizes paperwork and electronic data.
i. Maintains current subcontractor insurance certificates
ii. Prepares for Insurance Audit
e. Marketing:
i. Manages various marketing platforms keeping them up-to-date (Facebook, Instagram, Pinterest, Houzz, Ferguson Builders Website, Google)
ii. Assists & manages various other marketing endeavors (brochures, handouts, emails, home shows, etc.)

3. Personal: Motto – learning & advancing
a. Seeks out and participates in activities to develop personal growth in knowledge of the trades and Ferguson Builders’ processes to better fulfill the above KRAs.
i. Finds educational opportunities for self and the Ferguson Builders’ team
ii. Reads books, magazines, ads, etc.
iii. Listens to books, podcasts, books, etc.
iv. Watches tutorials, TED Talks, etc.
b. Finds a healthy balance between work and personal life to thrive in both.
i. Arrives to work on time and leaves work on time
ii. Schedules appropriately to complete necessary tasks efficiently
iii. Plans in advances for time-off

Since we are a small and growing company, you may be asked to complete other tasks not on this list.

Compensation

1. Pay: $20.00-$30.00 per hour depending on experience
a. Estimated 40 hours per week; 7:30 am - 5:00 pm
b. Overtime (over 40 hours per week) will be compensated at time-and-a-half
c. Payment will be by direct deposit every two weeks

2. Profit Share:
a. Team Members are eligible for Profit Share after their first 90-days and once unanimously voted upon.
b. Ferguson Builders is committed to rewarding team members monetarily based on
i. Overall success of Ferguson Builders projects
ii. Team Member’s contribution to the organization and to the jobs they worked on
iii. Team Member’s level of responsibility
c. Profit Sharing is given on a quarterly basis.
d. If a team member is no longer employed at Ferguson Builders, he/she forfeits all unpaid profit share.

3. Time Off: depending on experience
a. All time off be submitted for approval 2 weeks in advance.
b. Non-Paid Time Off
- Non-paid time off can be requested at any time with the above 2-week notice.
- Non-paid sick time can be taken up 24 days/year
Paid Time Off: 40-80 hours of Paid Time Off annually (starting)
- Available for use after first 90 days
- Paid time off is given annually (January 1-December 31), must be used during the calendar year given, and does not accumulate or roll over year-to-year.
- Paid time off cannot be used as overtime.
- Paid time off cannot be used as the final days of employment.

c. Holidays: Ferguson Builders will not conduct work on the following days: New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and Christmas Day. Ferguson Builders does not recognize any holidays as Paid Holidays. You are given Paid Days Off so you can decide which holidays you would like to observe as Paid Holidays.

4. Apparel:
a. Office Staff are to dress professionally in black, white, cream, gray, or navy blue. Pants may be professional slacks, skirts, or jeans. b. After 90-Days: One time $100 refund for clothing to be embroidered with the Ferguson Builder Logo

5. Other:
a. 401k:
i. Eligibility: You are eligible after working 1 year and at least 1,000 hours
ii. Ferguson Builders will match 100% up to the first 3% of your income and 50% of 4-5%
iii. Advising through a third-party financial advisor is provided
b. Mileage Reimbursement: When applicable, Ferguson Builders will reimburse miles driven with personal vehicle at
$0.54 per mile. (See Team Member Handbook for stipulations)
c. Gear Share: Ferguson Builders has a conglomeration of items (kayaks, State park pass, etc) to promote relationship building and active lifestyles.
d. Ferguson Builders Events: Baseball Game, Summer Family Picnic, Christmas Dinner
e. Various Vendor Discounts: When applicable, team members can purchase items using the Ferguson Builders discount (Verizon, Jeff Lynch Appliances, Wayfair, Wholesale Suppliers, etc)
