The Department of Internal Audit is seeking applicants for an Administrative Assistant. The primary purpose of this position is to provide high-level independent administrative support for the Director, Internal Audit, and the professional non-classified auditor positions. Performs administrative tasks to support the achievement of the units’ goals and objectives. Position also manages key activities for the successful operation of TeamMate, an automated audit project management software system. Many of the tasks performed will involve the knowledge and protection of confidential and business limited information.

In order to be successful in this role, the ideal candidate will:

Perform Administrative role related to TeamMate automated audit management system.
Manage and enter updates on departmental Web pages and serves as Web page point of contact for communications with the University departments responsible for WVU Web page environment, such as Web Services, Information Technology Services, etc.
Manage and administer the Qualtrics Internal Audit client surveys, responses and related reporting.
Assist the Director with departmental financial management, including serving as the primary contact with the EBO on administrative issues relevant to budget, personnel, travel, HR functions, etc.
Have purchasing authority utilizing procurement card or requisitions.
Verify accuracy and completeness of monthly budget reports from EBO.
Monitor expenditures and alerts Director of significant variances from planned budget.
Take the lead in the acquisition of required supplies, equipment and services
Acquire and manage library of professional literature.
Maintain department parking permit records.
The incumbent also represents the Director in coordinating work with numerous colleagues across campus.
Provide training as needed on office equipment usage as well as unit policies and practices.
Responsible for consolidating information from professional staff into structured report formats, such as the recurring BOG Audit Committee Reports.
Assist with the preparation of materials for formal committee reports and presentations, such as to the Senior Leadership Team, Deans’ Council, and Information Technology oversight committees.

Bachelor’s degree and/or equivalent combination of education or experience.

One (1) year experience:
Maintaining complex schedules for a number of professionals
Entering information into organizational administrative management systems
Written and verbal communications with high level staff
Progressively responsible office management experience
Working in an environment in which employee establishes individual priorities to meet overall goals.
