Job overview

In coordination with the Dwight Way Program Manager the Assistant Manager oversees all client case management services at Dwight Way providing oversight and development of case management services to building resident with a goal of increasing income and obtaining permanent housing. The Dwight Way Assistant Manager ensures that all swing lead and case management staff are trained and supervised following BFHP agency case management standards.

Dwight Way programs include a Men’s overnight shelter that serves 32 homeless men on a nightly basis; the Women’s Shelter that houses 32 single women a night as well as a Department of Veterans Affairs’ low demand transitional housing program serving 12 male veterans at a time. The Men’s and women’s shelter supportive services include housing case management with linkages to additional services; meals; and laundry.


Work within the framework of BFHP’s Code of Conduct. Must have clean DMV record, a valid driver’s license, fingerprint clearance, CPR and First Aid Certification. Successfully complete all Privacy and Security Training required by BFHP and maintain confidentiality regarding clients, personnel and other internal agency affairs. Trained on Clarity.

Shelter and Administrative Responsibilities

  • With Program Manager hire ,train, supervise and evaluate all DW staff
  • In coordination with the Program Manager monitor and approve time sheets and all requests for time off
  • As part of the management team coach and support staff as a daily presence
  • Create monthly staff shift schedules(assuring coverage for all shifts(ensure that staff schedules and service delivery are sufficient to support building operation)
  • Inventory program supplies and submit to manager for monthly order
  • Attend agency-wide staff meetings, trainings and workshops as directed
  • In collaboration with program manager create and develop program activities, workshops and trainings
  • Coordinate client intakes / referrals with the HUB, including utilization of HMIS / Shelter Point
  • Complete monthly bed night reports and other reports as needed
  • Maintain inventory of program and office supplies; submit order to Manager for monthly ordering

Case Management duties

  • Leading a team that includes the swing leads and Dwight Way case managers insure that all residents have an individualized housing stability plans within 14 days of entry. These plans should include specific goals and objectives and budget plans.
  • Ensure all client files are complete, per agency and funding guidelines
  • Work with the Dwight Way Program Manager to prepare monthly, quarterly and annual statistical and demographic reports
  • Coordinate with GPD Case Manager transportation for GPD participants to appointments as necessary
  • Coordinate with case manager GPD post-program completion assistance as needed
  • Share 24-hour on-call pager responsibilities with Program Manager on a rotation basis to respond to client or programmatic emergencies
  • Work evenings and weekends as necessary

Medi-Cal activities

  • Provide Medi-Cal outreach
  • Engage in referrals, coordination and monitoring of Medi-Cal Services
  • Facilitate Medi-Cal Applications
  • Arrange and / or provide non-emergency, non-medical transportation to Medi-Cal covered services
  • Participate in program planning and policy development for Medi-Cal and Non Medi-Cal clients
  • Attend MAA / TCM Implementation Training

  • Possess a Bachelors in Social Work, Psychology or related field. Relevant work experience will be considered
  • Must have residential management experience in a 24/7 facility
  • Minimum of 3 years progressive program management and staff supervision experience
  • Experience with case management/counseling with homeless, dually diagnosed, and substance abuse populations
  • Commitment to and experience with issues related to homeless people
  • Capacity to work well in a pressured, fast-paced environment and, in consultation with supervisor, set priorities in the presence of conflicting needs
  • Excellent written and oral communication skills
  • Capacity to work independently and as part of a team
  • Proficiency on PC computer systems, Microsoft Office Suite and ability to perform work processing, data entry, and other tasks at a computer workstation

  • The employee must occasionally safely lift and/or move up to 40lbs
