The purpose of the Reservations Supervisor is to assist, provide information, and book Outdoor Pursuits activity inquiries from Members and guests through all forms of communication. The Reservation Supervisor oversees, trains and works alongside Reservations Coordinators.

  • Field activity questions through phone calls, emails, texts, and drop-ins.
  • Process reservations by phone, email, text, and drop-in.
  • Provide training, coaching and counseling to all Reservations Coordinators.
  • Guide Reservations Coordinators on daily interactions with Members and their reservations for the Outdoor Pursuits activities.
  • Aid in the daily reservation system from inquiry to confirmation, including alterations to itineraries.
  • Provide a level of service that meets the highest standards in the Hospitality industry.
  • Oversee staff to ensure the department practices for consistency.
  • Act as liaison between different departments, through attending weekly events meetings, etc.
  • Maintain and motivate Reservations Coordinators staff.
  • Communicate with the Outdoor Pursuits Director on all pertinent program information
  • Work closely with Outdoor Pursuits Managers/Supervisors and other departments on providing effective communication, planning, and organization to ensure all activity needs are met.
  • Receive, relay, and confirm all Outdoor Pursuits and off-property activity reservations.
  • Promote Outdoor Pursuits activities to Members and guests.
  • Maintain knowledge of services and activities. Know the status, rates, and benefits of all services.
  • Communicate reservations to necessary departments.
  • Process billing on accounts.
  • Perform opening and closing duties as necessary.
  • Be the initial point of contact of all Outdoor Pursuits inquiries and activities reservations.
  • Create weekly departmental work schedules.
  • Monitor personal and team hours to responsibly control and fairly distribute approved overtime when necessary.
