About This Role:
The Legal Administrator is responsible for assisting the Legal Department with developing and implementing a contract management system, developing training for the company on working with the Legal contracts team and assisting other departments and sales with the facilitation of revenue deals, and administration, execution, and maintenance of the contracts database. A successful candidate will have a professional and collaborative demeanor in light of his or her outward-facing role working with other departments, including Finance, Sales, Sales Operations, Technology, and products teams as he or she develops requirements lists and architecture requirements and establishes objectives and expectations of the department needs for the contracts management system and training on these and broader legal department processes.
The Legal Administrator must have a solid and thorough understanding of contracting concepts, and industry practices/standards as well as a proven track record of successfully applying such knowledge and practices in a fast-paced industry environment. The Legal Administrator will work closely with members of the legal team. The Legal Administrator will report to the Senior Legal Administrator.
What You'll Do:
Evaluate departmental needs on contract management system processes and liaise between departments on requirements in connection with the deployment of a contract management system.
Set up working group meetings, manage objectives.
Identify company wide operational workflows and develop solutions for improving current processes through automated or semi-automated solutions.
Identify process improvements and build solutions and trainings to suit.
Develop trainings on Legal Department processes, including determining and developing training on the contract management system, legal portal (intranet portal for legal inquiries).
Provide legal assistance to corporate attorneys; act as liaison between company attorneys, outside counsel, organizations and in-house employees.
Conduct research on projects as directed by corporate attorneys.
Maintain accurate digital system of contracts, other documentation, and records.
Act as a legal librarian:
developing taxonomy on how and where files are saved and ensuring reference materials are current and organized.
Assist with the contract management process from initial contract request through final execution; understand domestic and international contract management and learn and execute these functions independently.
Maintain and monitor contract database and ensure compliance with contracting policies and guidelines.
Analyze contract requirements, interpret contract terms and conditions, and abstract key data elements for input data into the contract management system.
Monitor status of contracts and responds to inquiries regarding contracts.
Apply efficiencies to alleviate bottlenecks in the contracting process.
Manage database of documents related to due diligence processes.
Collaborate with sales team and other internal business partners to ensure contracts are accurately and efficiently processed.Provide administrative support, as needed, to the Deputy General Counsel.
What You'll Need:
Experience working with Salesforce.com, DocuSign or an equivalent electronic signature technology.
Experience with Conga or equivalent contract management system a plus.
Familiarity with operational processes in legal departments and legal operations software.
Familiarity with the overall functions of Sales, Sales Operations, and Finance.
Self-starter. Demonstrated ability to work independently and demonstrate initiative.Requires a high level of judgment and confidentiality in work
Good interpersonal skills; ability to communicate effectively all levels of management and across departments
Able to work extended hours at quarter close and for special projects.
Strong working knowledge of contract structure, terms and provisions.
1- 2 years, corporate experience managing the contract lifecycle a plus
Highly proficient in the Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel) and Adobe tools; willingness to identify, learn and implement new technologies to improve the overall efficiency of the Legal Department.
Excellent analytical and time-management skills
Strict adherence to company guidelines, compliance laws, and legal requirements
Solid verbal and written communication skills, excellent proofreading ability, and extremely detailed oriented
Bachelors degree (BA or BS) in business administration and/or paralegal experience
