The Program Coordinator II is part of the School of Nursing at Vanderbilt University and is a key individual contributor responsible for providing support to the Administrative Officer for VUSN Faculty Affairs. Duties will encompass a wide range of activities incorporating:
Faculty/Endowed Chair recruitment and related preliminary and complex on-site faculty visits inclusive of faculty applicant presentations.
Confidential data management in Faculty Information System (FIS), VUSN Personnel Database and DocFinity.
Faculty primary and secondary appointments and renewals
Adjunct faculty appointments and renewals.
Data reporting for surveys/annual reports and related regulatory and/or accreditation site visit information.
The position reports to the Administrative Officer for VUSN Faculty Affairs which is responsible for the recruitment, appointment and data management of VUSN faculty.
VUSN Faculty Affairs is the primary office that executes the posting, recruitment, and appointment of primary, secondary and adjunct faculty appointed through the School of Nursing. The office works collaboratively with the Dean, Senior Associate Deans, Provosts Offices and a variety of Vanderbilt University and Vanderbilt University Medical Center Offices in the execution of this responsibility.

Duties and Responsibilities
VUSN Faculty Recruitment
Supports the faculty recruitment process of:
Posting approval through the VU Provosts Office
Creating position in Interfolio Faculty Search.
Posting position on the VUSN website.
Cross referencing proposed position advertising strategy- assessing advertisement expense vs. available budgeted funds.
Posting ads in key journals and related areas.
Initial screening of applicants via RedCap.
Coordination of schedules/agendas for the recruitment visit:
Scheduling of rooms/visitor parking
Presentation/ post evaluation
Preparing and submitting a request to make an offer packet to Office of Faculty Affairs.
Enters and ensure accuracy of highly confidential faculty data in systems such as:
VU Faculty Information System (FIS)
VUSN Personnel Database
Database Queries/ Reporting
Works in conjunction with the Administrative Officer for VUSN Faculty Affairs in responding to data queries from a variety of sources such as the Dean, Senior Associate Deans, Provost's Office, TN Board of Nursing, American Association of Colleges of Nursing (AACN), National League for Nursing (NLN).
Works with a variety of key areas in implementing projects such as the conversion of VUSN nontenured faculty files into DocFinity.
Processes faculty initial appointment letters for VUSN primary and adjunct faculty.
Processes faculty reappointments or nonrenewal for VUSN primary and adjunct faculty.
Processes secondary appointments and appointment renewals, which includes obtaining signatures/permission from respective Dean where primary faculty appointment is held.
Enters data in key VU/VUSN systems that support the appointment/reappointment/nonrenewal functions.
Ensures the accuracy and completion of hard copy faculty files, to include tracking of official transcripts.
Acts as a resource for the office of VUSN Faculty Affairs
In the absence of the Administration Officer for VUSN Faculty Affairs,
Fields questions from the Dean, Senior Associate Deans, and related offices/entities.
Attends FIS User’s meeting and Dean’s Associate’s meeting.
Maintains normal office operations.
Profile of an Ideal Candidate
Associate’s degree from an accredited institution of higher education is necessary.
Bachelor’s degree from an accredited institution of higher education is preferred.
At least two years of directly comparable experience is necessary.
Experience with data entry and reporting in customized databases, Proficiency with Microsoft Office Professional Suite and RedCap is highly preferred.
DocFinity experience is highly preferred.
Ability to respond to multiple questions from students, faculty, staff, and parents is preferred.
Data management skills are preferred.
Planning experience with small and/or large-scale meetings or events is preferred.
Ability to maintain strict confidentiality is necessary.
Detail oriented and ability to take direction easily is preferred.
Strong organizational skills are preferred.
Willingness to take initiative to help other staff when assigned tasks are complete is preferred.
Follow-through with assigned tasks is preferred.
Ability to work independently and with a small team is preferred.
