To manage the daily operations of the mail room for the Peabody Institute. Will be responsible for the tracking, processing, and distribution of incoming and outgoing mail and parcels. This includes managing the mail for all faculty and staff departments as well as for the Residence Halls and Peabody Living Center. Position will also assist the Plant Operations Office in managing the Maximo work order system along with other business software for Plant Operations.
Sort, process, track, and distribute all incoming and outgoing mail and packages.
Average amount of incoming mail: 30-40 per day.
Average amount of incoming packages: 40-50 per day.
Handle interdepartmental mail, USPS, UPS, FedEx and all other deliveries to campus.
Help customers send outgoing mail through above mentioned services.
Use Pitney Bowes postal meter, package tracking software, and maintain proper amount of postage.
Maintain a log of daily, weekly, monthly expenditures.
Establish and maintain a list of 740 student mailbox numbers in conjunction with the registrar.
Coordinate departmental package pickup or delivery.
Maintain a secure environment for the Peabody mail and packages.
Identify problems and resolutions and actively implement change accordingly under the direction of the manager.
Demonstrate effective customer service for customers.
Manage and train student workers who will assist with mail room duties.
Process work orders for Plant Operations using the Maximo software.
Special Skills and Requirements:
High School diploma/GED required. Prior experience in a post office or mail room preferred.
Ability to lift and carry up to 25 lbs. on a regular basis.
Ability it walk and stand for periods of time.
Effective and professional verbal and customer service skills.
Experience in a post office or mail room is preferred.
Knowledge of postal meters, mail rates and regulations preferred.
Experience with Microsoft Office is preferred.
