Gale has an opportunity for an organized, reliable, detail-oriented individual to provide key administrative support for our professional engineering and architectural staff

Key Responsibilities
Understand and handle general business practices in a Professional Services office to include coordinating purchases of office supplies and services.
Maintain/update filing systems for the proper and timely handling of correspondence, documents, contracts, and records.
Understand contract terms and conditions, to include American Institute of Architects contracts.
Utilize sound business writing skills to maintain corporate word processing and report standards.
Interface with corporate accounting department regarding project billing, accounts receivable and expense reporting.
Interface with clients regarding contract documentation, billing and accounts receivable.
Maintain master word processing documents to include reports, proposals and marketing materials.
Perform other duties and functions as may be assigned by supervisor, which may be requested from time to time.
Job Requirements
Minimum of 10 years of administrative experience in a Professional Services (engineering/architecture/legal) environment.
An Associate or Bachelor’s Degree is preferred.
Experience with review and management of professional services contracts.
Proficiency in Microsoft Office Suite with demonstrated expertise in Word, Excel, and PowerPoint. Knowledge of Access is a plus
Strong organizational skills.
Excellent oral and written communication skills.
Ability to interact with vendors and clients on behalf of the firm.
Strong attention to detail, including proofreading.
Ability to work well under pressure, prioritize multiple projects, and adjust work accordingly, often against tight deadlines.
Must be quality minded and self-motivated.
