Eden Technologies is an IT firm that focuses on innovating and delivering cutting edge technology to some of the largest global firms in the world. We are currently seeking an eager, enthusiastic and highly motivated bookkeeper/administrative assistant to join our growing finance team. Primary responsibilities will be general administrative, oversight of personnel onboarding/offboarding, and execution of accounts receivable functions.

Qualifications:

  • Bachelor's degree in Accounting
  • Knowledge of general accounting (US GAAP)
  • 7+ years of experience in bookkeeping/accounting administration
  • Experience with accounting systems
  • Expert knowledge of QuickBooks
  • Strong knowledge of MS Office Suite, especially Excel
  • Attention to detail
  • Strong organizational skills
  • Working at a small, rapidly growing company

Responsibilities:

Resource Management

  • Execute the resource onboarding process including the following:
  • Creation of accounts
  • Setup email address
  • Setup resource in Payroll system
  • Shepherd resource through the onboarding process
  • Provide resource with an orientation session
  • Provide vendor information to finance
  • HR Liaison
  • Serve as the single point of contact for contractors
  • Serve as the liaison with our outsourced HR firm
  • Provide employee verifications when requested

Project Tracking

  • Project Initiation
  • Create new projects in our PSA system
  • Communicate time tracking instructions to resources
  • Create new projects in Forecast tool
  • Project Tracking
  • Communicate with each resource weekly to ensure time is entered and to get updates on the project status (renewals and/or end dates)
  • Approve time
  • Update project in CW if end date changes
  • Update project in Forecaster if end date changes
  • Notify account team when project is within 30 days of closing
  • Verify financial information in Project Tracker
  • Copy time information into customer time tracking portals
  • Project Closeout
  • Communicate with all team members that project will be closing
  • Close project in PSA
  • Disable accounts
  • Provide resource an offboarding session
  • Send survey to customer

Billing

  • Create Invoices
  • Communicate with Resource Management to validate that time is entered and accurate
  • Generate invoices
  • Review invoices and send
  • Transfer invoices to QB

Building Management

  • Liaison with vendors and tenants of Eden owned property
  • Pickup mail at NYC Post Office and White Plains locations

Collections

  • Contact customer to validate receipt of invoice
  • Contact customer 1 week prior to due date to validate payment
  • Generate a weekly AR report
  • Contact overdue accounts daily
  • Provide a daily report of overdue accounts and collection activity

Administrative

  • Perform all duties required to maintain essential daily business workflow
  • Book travel

_*Eden embraces a work from home culture – in general team members are more than welcome to work from anywhere they like. Requirements to be onsite will include meetings about once every two weeks, travel to White Plains & NYC for administrative responsibilities, and attendance at occasional firm functions. While this is largely work from home, candidates must be able to be at a location on any day with little or no notice. Close proximity to White Plains, NY is preferred.*_

Job Type: Full-time

Salary: $50,000.00 to $70,000.00 /year
