Purpose:
Responsible for the day-to-day administrative support for HR Benefit programs including Health and Welfare Plans, Retirement plans, Voluntary Benefits, and computerized records maintenance. May conduct research within well-defined parameters and compile statistical data for management’s use. Works independently on assigned benefit program projects, invoicing, and select vendor programs. Provides integral support for benefit plan governance committees.
Job Responsibilities:
Core Responsibilities
- Support the vendor invoicing, billing and payment process and ensure accurate differentiation of Settlor and Plan expenses, and accounting cost center code accuracy for expense.
- Research complex invoicing issues.
- Work with benefit team and vendors to resolve enrollment, pricing and other invoicing and reporting discrepancies.
- Benefit Plan Governance Committee support - schedule meetings, prepare agenda and summary of claims and appeals, take meeting minutes, and draft responses. Coordinates follow-up action to implement Committee decision on appeals.
- Track claims payment, administrative fees, and other expenditures, ensure accuracy and timeliness.
- Responsible for the timely quarterly and annual reporting and payment process under the San Francisco Health Care Security Ordinance.
- Support assigned vendor relationships and act as main point of contact for issues as needed.
- Provide support for team reporting and compliance activities/projects.
- Assist with the creation and dissemination of benefit communications to HR representatives and associates.
- Respond to internal and external inquiries and benefit questions including directly answering commonly asked questions for all benefit programs and knowing where to redirect questions that require more in-depth expertise for handling.
- Review and document department processes and procedures.
- Responsible for the benefit records retention and retrieval process within benefits team.
- Responsible for electronic filing of plan documents and related electronic benefit plan communications and correspondence.
- Directly interface with external parties including benefit vendors, legal counsel and actuaries as needed to support benefit team to resolve conflicts with invoicing, schedules, meetings, benefit program implementations and communications.
- Interact with internal departments including legal, HR Shared Services, IT Strategic Sourcing, Treasury, Accounting, and other departments as needed to resolve benefit plan issues.
Additional Responsibilities
- Support the Benefits team with scheduling meetings and conference rooms for internal and external parties.
- Makes travel arrangements and processes expense reimbursements for department travel and management trustee level.
- Prepare and process Retirement Plan letters of direction for Master Investment Trust benefit plan.
- Performs other duties as assigned.
- Good judgment is required for this position as there may be times when direct supervision may not be immediately available.
Job Requirements:
Education/ Certifications:
- High School diploma or GED required.
- Associate degree preferred.
Experience:
- At least 3 years of HR or benefits related experience required.
- A strong understanding of laws, rules and regulations related to assigned job responsibilities preferred.
Knowledge/Skills/ Abilities
- Ability to follow verbal or written instruction.
- Knowledge of policies and procedures of the office or function.
- Possess a good understanding of office environments and procedures with demonstrated skills using personal computers and PC based systems.
- Working knowledge of spreadsheet and word-processing programs.
- Ability to handle sensitive and confidential information related to HR.
- Deal effectively with a wide variety of people both in person and over the telephone.
- Strong written, verbal, and interpersonal communication skills.

Remote Role:

This position is classified as remote where the associate will perform remote work from their primary residence. Remote associates are welcome to work from the office but are not required to do so. While remote associates are not required to work from an office on a regular basis, they may be required to come to the office or other UNFI locations for necessary business reasons or if directed to do so by their manager.
