Your Role
The Studio Coordinator partners with the Studio Leaders to collectively drive the operational success of the Studio. This role sits at the hub of the studio, providing a single point of contact for internal, external, and firmwide team members. An exceptional communicator and self-starter, you own and manage aspects of studio operations that allow leadership to focus on strategic matters.
What You Will Do
Studio Support (Day-to-Day)
Support day-to-day operations of a 20-35 person studio
Meeting coordination for studio
Maintain a clean and organized studio space, both physically and digitally
Schedule studio events/studio socials
Coordinate monthly studio meetings & events (as needed)
Partner with Office Services and IT to plan for software and workspace updates and changes
Manage studio PTO calendar and PTO staffing
Assist Project Mangers and Studio Leaders with staffing requests and fulfillment
Work closely with Shared Services groups in support of studio administration and report requests
Provide administrative support and other ad-hoc special projects as needed
Be the first stop for fielding questions for studio members, with a positive and helpful attitude
Provide back-up to other studio coordinators as needed
Support for Principals, Studio Leaders, Business Leaders and Senior Hires (Varies)
Calendar Management (As Needed/Preferred)
Email Monitoring (As Needed/Preferred)
Download, analyze, and prepare reports for Leadership review; Partner, as needed, with Design Managers and other studio leaders; Includes but may not be limited to A/R, backlog, timesheet completion and detailed review; held time (unbilled labor), revenue forecasting; staffing requests and analysis. Identify and suggest areas for improvement
Coordination of Professional Development Plan Meetings (PDP) and 90-Day Reviews
Presentation compilation (InDesign), studio org chart, various document preparation
Your Qualifications
4-5 years of experience in an administrative capacity
Microsoft Office experience a must
Basic aptitude with Adobe Suite/In Design and Miro experience a plus
Experience managing multiple calendars in Outlook
Proven attention to detail, with excellent organizational and technical skills
Must be able to determine priorities, take ownership of tasks, and exhibit a high level of initiative and follow-through
Established success working on multiple tasks/projects at the same time
Excellent communication and relationship management skills
Ability to interact professionally with individuals at all levels
Proactive by nature and curious to learn more about our business
**The base salary will be estimated between $69,000 - $80,000 plus bonuses and benefits and contingent on relevant experience.
