DIRECTOR OF ADMINISTRATION II

Under direction, the Director of Administration II oversees and directs office operations for both the Department of Planning & Development and the Department of housing. Supervises three (3) professional staff engaged in purchasing, supply and equipment inventory, facilities maintenance, record keeping, reprographic requests, and all other operational needs of the department.
Coordinates and directs professional and administrative staff engaged in purchasing, supply and equipment inventory, facilities maintenance, record keeping, reprographics, voucher systems processing, intern and volunteer hiring, and all other operational needs of the department
Develops and implements administrative work procedures to ensure the efficiency of support functions and office operations and evaluates staff performance
Monitors the preparation and processing of purchase requisitions for the procurement of supplies and equipment and the processing of invoices for payment
Liaisons with other City departments regarding personnel, purchasing, budgetary, and records management
Prepares DPD and DOH annual operations budget and oversees the maintenance of related accounting of expenditures and financial records
Coordinates the preparation of contract specifications and documents for the purchase of equipment, professional services, and other goods and supplies
Coordinates with vendors, consultants, and other City personnel to facilitate departmental operations
Authorizes payment to vendors for goods and services received
Advises management on budgetary requirements and personnel rules, policies, and procedures
Oversees intern and volunteer hiring processing
Ensures proper maintenance of facilities including provision of needed custodial services and maintenance and storage of records

Hours: 9:00am – 5:00pm
THIS POSITION IS IN THE CAREER SERVICE
Graduation from an accredited college or university with a Bachelor’s degree in Business or Public Administration or a directly related filed, plus four years of budgetary, human resources, or office administration experience of which two years are in a supervisory role related to the responsibilities of the position, or an equivalent combination of education, training, and experience

This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected.
Preference will be given to candidates possessing the following:
Previous work experience in facilities management
Previous work experience managing offsite storage
Previous office equipment purchasing and control experience
Proficiency working with Microsoft Word, Excel, and Visio
VETERANS PREFERENCE NOTE: The City of Chicago offers Veterans Preference for both current, active military personnel AND military personnel who have served in the Armed Forces of the United States and have received an honorable or general discharge. Eligible candidates must have at least six months of active duty documents. For active military personnel, you must attach a letter from your Commanding Office on official stationary verifying your active duty, length of service, and character of service in the Armed Forces of the United States AND a copy of your military ID to your online application. Failure to answer the question and attach the required documentation will result in you not being considered for the Veterans Preference.
Evaluation: Your initial evaluation will be based on information provided on the application form and documents submitted with the application. Applications must be submitted by the individual applicant. No second party applicants will be accepted.
Residency Requirement: All employees of the City of Chicago must be actual residents of the City as outlined in 2-152-050 of the City of Chicago Municipal Code. Proof of residency will be required.
