The person in this role will provide administrative support to a team of ~15 Customer Analytics professionals. The successful candidate will need to be a proactive, independent and self-motivated administrative professional that contributes high-quality results coupled with wider business process thinking, planning and input, based on knowledge of the business.
The role will require strong organizational skills and the ability work independently while utilizing an extended network to answer questions outside of areas of expertise. The ability to identify problems and relevant issues in ambiguous situations and to handle multiple demands and priorities simultaneously are key competencies.
Role definition and Key Accountabilities include, but are not limited to:
Purchase Orders / Budget:
Prepare purchase orders for the CA team in a timely manner and maintain accurate documentation for budget tracking.
Interact with procurement and budget coordinators to ensure accuracy of the POs, resolving any issues as needed.
Scheduling / Travel Arrangements:
Make travel arrangements for the assigned team members
Coordinate with other administrative support to assist when traveling to other Pfizer offices to secure office space and security clearance at those sites.
Schedule, coordinate and manage logistics for department meetings or other large meetings as needed, including any food or technical arrangements
Prepare expense reports for Team Leads and ensure expenses are filed correctly and comply with Pfizer Corporate Travel & Expense policy. Reconcile statements against actual travel expenses.
Use own judgment to make decisions, within scope of responsibilities. Handle complex non-routine issues on a periodic basis with minimal direction.
Handle a variety of issues and problems with limited supervision and finds innovative ways to overcome obstacles and improve operations which impact completion of own work
Demonstrate an in-depth understanding of Pfizer organization structure in order to address issues and support team
Assist with on-boarding of new hires, either colleague or contractor staff, including securing office space, computer / phone equipment and other needs
Provide back-up administrative support to BAI colleagues in NYHQ as needed
Order office supplies for the team
Demonstrates expert knowledge and proficiency with general office tools/systems such as Microsoft Office (Office 365, Word, Excel, PowerPoint), WebEx, and Pfizer travel and accounting systems (Concur, ePA3, Ariba)
Can proactively balance tasks, activities and priorities for self and others
Can work independently and is willing to learn new technologies/skills
Conducts all activities and makes decisions that are in accordance with Company policies & SOPs, Pfizer Values
Education / Experience
High School Diploma or equivalent (GED) or higher
A minimum of 5 years of experience in an administrative support role required
Administrative experience supporting a large team who are managing multiple projects
