Main Function/Position Summary

As directed, performs a variety of mail and clerical duties.

PRINCIPAL DUTIES AND RESPONSIBILITIES:
1. Works under the supervision of the Deputy Project Manager. The Mail Room Clerk will act independently or assist in the performance of any and all duties necessary to keep the facility in full operation. Will perform other duties as assigned.

2. The duties listed below are not set forth for purposes of limiting the assignment of work. They should not be construed as a complete list of the various duties normally performed by the individuals assigned to the Support Services department or those to be performed temporarily outside an employee’s normal line of work.

A) Opens incoming mail and physically inspects contents.

B) Operates x-ray equipment to scan incoming parcels and packages for detection of potentially threatening and suspicious materials (contraband).

C) Follow security procedures for confiscation of contraband and notification of appropriate institutional staff for investigation.

D) Operates postage machines (e.g. postage scale, meter machine) to process incoming/outgoing mail.

E) Sorts mail for most efficient handling.

F) Determines class of mail; set postage meters.

G) Date and time stamps.

H) Opens, bundles, addresses and completes documentation associated with special mail handling (e.g. certified return receipts).

I) Ensures prompt handling of time sensitive documents that could have impact on legal notifications.

J) Delivers to appropriate office and/or picks up mail, parcels and/or messages.

3. A) Work is completed in a priority established by supervision or facility need.

All work will be completed with a high degree of professionalism, quality and craftsmanship.

B) Lulls in workload are used to maintain a clean and orderly work area and to insure clerical tasks are up to date. Keeps up to date on departmental and facility safety standards and local codes and policies.

Qualifications

MINIMUM QUALIFICATIONS:
Education:
A high school diploma or GED is required. Bi-lingual is a plus.

Experience:
Experience preferred in agency and federal postal regulations, threat assessment procedures, suspicious package profile, and emergency response notification procedures. Reading of common English vocabulary and skill to sort items into categories according to established methods.

Interrelationships:
Must have inter/intra communication skills with employees and department heads. Must be able to follow Standard Codes of Conduct pertaining to interaction with detainee population.

Physical Effort:
May lift or push up to 40 lbs. For extended periods of time may be required to stand, walk, squat, kneel, sit, bend, reach and climb. May be required to work outside, exposed to weather.

Working Conditions:
May be exposed to explosives, deadly inhalants or firearms. May be exposed to loud or constant noise from package machines. Work areas may include all areas of the facility. May be required to work outside, exposed to weather.

Other Requirements:
Must be at least 21 years of age. Must be able to pass extensive background investigation and drug testing. Random drug testing will be performed.
