The Administrative Assistant supports multiple EAP product lines, staff and high profile customers to ensure timely processing of invoices, compiling timely and accurate EAP reports, process and follow - up on hardware, software and supply requests for new and existing employees; other administrative duties such as data entry and special projects.

Primary Responsibilities:
Manage invoicing with prompt response time, follow - up and timely entries into payment system. Invoicing includes: SAE, CIRS, SAP and Ad hoc providers
Compile and / or integrate information needed to complete internal and customer reports and documents
Assist with new hire onboarding; may include sending equipment for teleworkers and requesting system access
Assist with employee terminations by recovering Optum property and ensuring proper paper PHI management
Record / label / file records and documents according to enterprise records management procedures
Data entry that may include inputting notes and activity for contractors / EAP partners
Order supplies for EAP team, such as printers, jetpack, business cards and other office supplies
Assist EAP Managers with special projects and system implementation
Maintain and distribute lists as needed (e.g., organizational charts; email; distribution; vendor; contacts; etc.)
Prepare slide decks and team meeting agendas / notes
Support EAP staff and implement process improvements
Make travel arrangements for EAP Leadership
All other admin duties as assigned

Required Qualifications:
High School Diploma / GED or higher
4 + years previous Administrative Assistant experience
4+ years demonstrated computer hardware and software utilization / proficiency in corporate environment

Preferred Qualifications:
Associate's Degree or higher
Working knowledge of healthcare industry (i.e. EAP, Behavioral Health services, or equivalent)

Soft Skills:
Strength and experience in planning, organization, problem solving, prioritization and rapid execution of multiple tasks
Strong problem resolution and customer service orientation
Strong written and verbal communication skills
Strong business acumen and professional presentation
Ability to effectively communicate with all levels within the organization and be able to form effective collaborations with others.
Ability to understand and work effectively within large matrix managed corporations
