We are looking for an Office Manager to organize and coordinate office operations and procedures, in order to ensure organizational effectiveness and efficiency. A high degree of professionalism and timeliness is expected towards all interactions with employees, guests and vendors. A positive yet firm approach is required in attempting to collect outstanding receivables. The ability to functionally multi-task while maintaining attention to detail and strong sense of urgency, along with keeping documentation that supports the timeliness, completion of assigned tasks and problem reporting are required. A pro-active approach to all tasks and problem handling along with a team and team building attitude is required.


  • Direct and supervise the activities of other administrative assistant personnel including goal setting, evaluations and performance reviews
  • Manage the Administrative team (3), Security/Front Desk (4), Facilities (1), Transportation (1), managing various administrative responsibilities and serve as the point of contact for maintenance, supplies, equipment, errands, etc.
  • Manage and maintain the following:

- Inventory management system
- Parking agreements including, on and off-site parking, carpool and shuttle programs
- Opti-Coin incentive program
- Ongoing charity initiatives

  • Manage all conference room requests and bookings
  • Compose company emails
  • Maintain cleanliness of breakrooms and company equipment
  • Coordinate monthly team lunches across all departments, ensuring order, delivery and clean- up
  • Establish and maintain vendor relationships including building property management
  • Participate in cross-functional committees and attend regular leadership meetings
  • Plan and execute company events including company holiday party and off-site meetings
  • Coordinate travel arrangements to include booking of flights, hotel stays, rental cars for senior leadership including C-Level executives
  • Maintain a secure, organized, and clean work spaces throughout buildings
  • Maintain strong work relationships with all departments and department leaders


  • Bachelor’s Degree
  • Minimum of 5 years office management experience
  • Exceptional organizational, written, and communication skills
  • Strong sense of urgency and ability to multi-task in a fast-paced environment
  • Proficient and comfortable with office equipment (Computer skills – Microsoft Office, Outlook, Excel)
  • Be readily available to complete last-minute requests
