POSITION SUMMARY:
The Legal Administrative Assistant is responsible for providing administrative support to attorneys and paralegals in the litigation practice area. This includes but is not limited to management of data in litigation repositories, electronic files, and other firm applications utilized by litigation teams. The Legal Administrative Assistant position requires strong communication, grammatical, proofreading and writing skills, as well as extreme attention to detail.
SPECIFIC JOB DUTIES:
- Review and maintain attorney docket, anticipate upcoming deadlines; prepare required documents for attorney review, provide exceptional support to facilitate timekeeper workflow and increase timekeeper efficiency
- Prepare and format draft documents, including answers, discovery documents, motions, correspondence and memos
- Assist case team with the various aspects of the briefing process including proper formatting, generating Table of Contents and Table of Authorities when necessary
- File documents electronically in various courts
- Maintain several electronic Blackbooks (Casewebs) with pleadings and discovery
- Track project timelines and manage deadlines
- Coordinate attorney calendars, organize meetings, and arrange travel and generate expense reports
- Coordinate agendas, schedules and other details for client/association events
- Coordinate and calendar depositions with all parties involved
- Format and edit complex documents accurately and efficiently based on detailed and general instruction using Microsoft Word
- Implement scheduling priorities based on both detailed and general instructions
- Enter, review and release time entries
- Perform administrative tasks for attorneys and litigation team, requiring knowledge of the litigation practice area and an understanding of procedures with minimal supervision
- Provide general assistance to support the litigation team and projects when needed
KNOWLEDGE, SKILLS AND ABILITIES:
- Minimum of 5 years of Litigation experience.
- High school diploma or general education degree required, Associates or Bachelor’s degree is preferred.
- Knowledge of Microsoft Office Suite (Word, Excel, and PowerPoint).
- Ability to maintain a high level of accuracy, superior attention to detail and strong organizational skills.
- Ability to facilitate clear and concise communication with others in a positive manner.
- Ability to work with others effectively in a team that encourages diversity of thought and innovation.
- Ability to maintain a professional demeanor, exhibit sound judgment, maintain confidentiality and use discretion.
- Ability to exhibit problem-solving skills and demonstrate initiative and accountability.
