Position Summary

The Director of Business Operations (“DBO”) will work directly with the Managing Principal to manage all operational functions. The DBO assists with continuous improvement within departmental reporting, processes, and procedures. The DBO will perform duties within the Finance/Accounting, Administrative, Human Resources and IT Departments. The DBO will also work alongside the Managing Principal to continuously improve processes and procedures so that the firm runs at peak efficiency. The DBO will need to be able to manage full-time and part-time Operations staff, as well as relationships with independent contractors.

Duties will include:

Operations

  • Ensure that firm targets are identified and tracked and that departmental goals and individual goals align with firm objectives, mission and vision
  • Establish productive, professional relationships with each client account in order to proactively identify needs
  • Work with marketing director and service directors to develop sales and support enablement tools and scalable training programs that can help train company sales team & partners
  • Drive adoption of company programs, policies, and procedures among departments
  • Standardize and optimize processes, and collaborate with other departments to facilitate desired outcomes
  • Manage current technology platforms and communications; strategically research emerging technology tools and prepare implementation proposals and other recommendations
  • Coordinate IT-related items with outside contractor
  • Manage the operations staff

Accounting

  • Accounts Payable/Accounts Receivable
  • Ensure accounting and bookkeeping process function smoothly, including timely and accurate invoicing and monthly accounting close
  • Process payments by check, wire, credit card, and email receipts
  • Prepare company deposits
  • Generate payment schedules for vendor payments
  • Provide assistance to vendor payment questions
  • Administer company expenses and petty cash
  • Produce A/R and A/P reports
  • Produce weekly cash flow reports
  • Make follow-up calls and send emails for collections according to company procedure
  • Internal Reporting
  • Collect information for functional business targets that align with the Managing Principal’s long-term vision
  • Produce monthly, quarterly and annual company financial statements for management to review
  • Assist accounting with the preparation of state and federal reports and taxes.
  • Produce reports for services team (as needed) to include LER, Contribution Margin, utilization, etc
  • Payroll
  • Process payroll using ADP
  • Employee expense report processing
  • Manage staff vacation time, sick time, jury duty leave, bereavement leave, and STD/LTD claims
  • Ensure payroll compliance with all city and state requirements
  • Finance
  • Create operational budgets for each department and track actual costs each week

Alert Managing Principal of cost variances and provide recommendations and implement solutions to problems

  • Develop and maintain appropriate cash handling procedures
  • Assist in studying and analyzing accounting functions, methods and procedures, and make recommendations concerning the feasibility of revising existing processes or adapting new technologies that will more effectively utilize the company’s resources
  • Ensure strict confidentiality of company financial records
  • Provide financial models and reporting that drive strategic business decisions within the firm

QUALIFICATIONS

  • Bachelor’s degree in business, accounting, or finance
  • Minimum eight (8) years’ experience in operations management, preferably in consulting and/or professional services
  • Experience with scaling companies highly desirable
  • MBA or CPA preferred

COMPUTER SKILLS

  • Proficiency in Microsoft Office Suite

· Proficiency in Quickbooks Desktop
· Experience with custom database applications
