Business Operation Agents

This departments duties will serve in 4 important parts of business. All business operations employees will support all areas and are not strictly hired for each one of the below duties. The 4 areas your team will be responsible for is:

  • Guest Experience/Tour Reception
  • Contracts
  • Gifting
  • Office Management

All of the roles need the following qualifications and abilities to operate in this space.

Minimum Qualifications/ Requirements

  • GED or higher
  • Ability to use Microsoft Office.
  • Ability to work in a fast-paced environment.
  • Ability to assist guests in a helpful, professional and friendly manner.
  • Possesses productive, energetic, and self-motivated attributes.
  • Possesses organizational skills

  • Process profile sheets and have data entry skills through Microsoft excel

Here is a breakdown of each area in the business operations department. All business operations employees will perform the duties below:

What is Guest Experience / Tour Reception?

The primary purpose of this position is to welcome our guests into our location as one of the first faces of our organization. They are to make the guests immediately feel warm and welcome and enhance their experience. During this time, the guest Tour Reception agents will welcome guests, verify eligibility to tour, confirm the gifts they will receive for attending, and then escort them to the waiting area of the lobby. Once the guests are in the waiting area, this employee will then assign the guest to a specific sales rep based on the sales rep rotation and give the information to the sales leader for the presentation to begin. They will then document which sales agent is assigned to the guest for tracking purposes.

What is Contracts?

The purpose of this department is to generate the contracts for our new members that join Vacations4you! Once the new members information is submitted to the contracts agent, the agent will then insert the members information into the contract template provided and also the online platform for usage and activation of their account. They will ensure all information is typed correctly and all pages of the contract is printed properly and the contract documents are in the correct order. This team will also log all of the deals and transactions into our database for record keeping and recording. This team will also upload the contract documents and send to the new members for their records.

What is gifting?

The majority of our guests will be given some sort of incentive or gift for participating in the presentation. Our gifts will include, but not limited to, tickets to area attractions, gift certificates to restaurants, usage on our service, amazon gift cards, and prepaid visa cards. Once the guests have completed their presentation, the gifting agent will issue the gift that was verified upon checking in to the guest. These gifts will already be put together and ready to go for the guests, while they are meeting with the sales team. The gifting agent will have the client sign that they have received their gift and have the guests do a survey of their experience so we can continue to always enhance our guest experience. The operations team will audit the gifting and monitor the premiums that we have on hand to ensure accuracy and integrity of the department.

What is office management?

Having a nice, clean, and professional work environment is key to the success of our organization. In between the various tasks listed above the team will make sure the office space is in a clean and working order. Their daily tasks will include, but not be limited to:

  • Ensuring refreshment area is clean, stocked, and maintained throughout the day
  • Restrooms are stocked with tissue and paper towels
  • Support in the solution for IT or other system shortfalls
  • Common work areas are clean and ready for guests
  • Overall support system to make sure the office is running at optimal levels

Salary: $12.00 to $15.00 /hour
