As the Executive Assistant you will be working for several different companies at both the micro and macro levels. We are looking for someone with the right skill set and demeanor as you will be wearing a lot of different hats in this role. One day you will be making copies and the next day you will be making budgets.

Depending on your background and expertise, your primary job will focus on KOOLGATOR (50-75% of your time) with the remainder of your focus on handling the accounting for several other smaller companies and investments (25-50% of your time). These allocations will change and adjust over time based on the growth of the businesses.


KOOLGATOR is a small local Boise company that has been involved in the promotional product/advertising specialty industry for over 10 years. Our primary business is selling our products through a national network of distributors that market to companies looking for branded products. In addition, we have started selling some of our products through various retailers and e-tailers as we continue to grow and create new sales channels. We have also recently introduced several new products to the marketplace which is part of our overall growth plan.

Tech-savvy and good computer skills in a Windows 7/10 based environment

Experienced with MS Office suite of applications, specifically Outlook, Excel and Word

Familiarity with SalesForce or similar CRM and ability to customize and generate various reports

Experienced using QuickBooks for basic bookkeeping

Highest level of discretion and confidentiality


Accounting/Financial Reporting

Creation of annual budgets

Weekly bill paying

Creating and reviewing monthly financial reports

Maintaining corporate filings and documentation

Submit bi-weekly work hours to payroll service

Human Resources

Manage onboarding and training process with new employees

Maintain employee files

Create and manage employee handbooks and appropriate documentation

Organizing and scheduling company events, both social and educational

Trade Shows

Annual planning and scheduling of appropriate trade shows

Booking and logistics of all travel, lodging, shipping and rentals

Computer/IT Support

Basic computer support, new computer set up, software installs, etc.

Basic assistance with maintaining the company network and general troubleshooting

Office Management and General Business

General administrative support

Ordering and tracking of supplies as needed

Managing, tracking and assisting with company projects to ensure on time completion

Generating and customizing CRM reports as needed

Researching, analyzing and recommending new systems as directed

Assist with marketing strategies, planning and implementation

Assist with new product development and new sales channels

Assist with sales support and new business development


Accounting/Financial Reporting

Entering all expenses and revenues into QuickBooks

Deposit incoming checks, handle monthly bill paying and bank reconciliations

Creating and reviewing monthly financial reports

Maintaining corporate filings and documentation

Human Resources

Maintain employee files

Create and manage employee handbooks and appropriate documentation
