Receptionist / Office Coordinator

MacAulay-Brown, Inc. (MacB) - Linthicum Heights, MD4.1

We are currently looking for a Receptionist/Office Coordinator for our Linthicum Heights office. This person will be responsible for the following:

Serve as receptionist for employees and visitors by greeting, welcoming, directing and announcing them appropriately
Answer, screen and forward all incoming phone calls while providing basic information when needed (i.e. company address, directions, website, etc.)
Coordinate facility operations
Act as liaison between MacB management and all facility-related vendors such as property management, plumbers, cleaners, locksmith, etc. for planned or emergency services
Oversee facility-related projects ensuring projects meet requirements and milestones
Escort service-related vendors during all scheduled visits and obtain quotes to be provided to management staff
Manage all inventory, ordering, and distribution of cleaning supplies, office supplies and kitchen/pantry items
Maintain proper security
Ensure all guests are signed in with photo ID and issued a badge
Escort visitors and vendors as needed
Daily badge inventory (notify the visitors POC regarding the return of badge)
Assist with creation of employee badges
Monitor security videos
Add/remove alarm users and act as backup responder to overnight alarm calls
Prepare for upcoming meetings, scheduled visitors, candidate interviews
Place food orders for meetings and provide clean-up assistance
Receive and sort mail/deliveries daily
Daily mail distribution to specific departments
Notify employee by e-mail or phone upon delivery
Maintain safe and clean Reception and common areas
Assist with preparation for company-sponsored events as needed

Requirements:Security Clearance:
Ability to obtain a government security clearance and therefore all candidates must be a U.S. Citizen.

Required Skills:
Minimum 5 years of experience as an Receptionist in a Corporate environment, using a multi-line telephone console
Outstanding communication skills (written and oral) and interpersonal skills
Excellent organizational and time management skills
Strong professional demeanor
Proficiency with Microsoft Office applications (Word, Excel, Outlook)
Ability to lift 20 lb paper boxes
AS Degree preferred but not required
