Specialist, Benefits Administration
The Specialist, Benefits Administration is responsible for providing administrative and clerical support related to day-to-day administration, documentation, communication and compliance of the company’s benefit and compensation programs.
Coordinates mailings for open enrollment, ongoing benefit and compensation compliance notifications, required program change or update notices, targeted communication efforts to drive understanding of or participation in benefit or compensation programs, and other events as assigned.
Maintains and provides documents, per request, ensuring organizational and associate compliance with laws & regulations, such as the Health Insurance Portability and Accountability Act (HIPAA) and company procedures.
Provides support with open enrollment and ongoing enrollment processes between the company, third party vendors and associates for the US and Canada.
Prepares daily, weekly and monthly invoices for payment and researches discrepancies for vendors
Assists Leave of Absence team in fulfillment of required mailings and processing/storage of leave information, including completion of forms for state programs
May assist in the transfer and reconciliation of data between internal information systems, internal personnel and/or external vendors.
Back up 401(k) administration processes as needed.
Attends and contributes to meetings with team members, company departments and/or external vendors.
Handles daily mail processing along with fulfillment for assigned areas such as benefits billing, SPDs, QMCSOs, ACA communications, LOAs, etc.
Maintains office supply inventory for the department.
Assists with research/resolution of associate inquiries/issues.
Maintains benefit files and other documentation required by departmental procedures.
Works in partnership with other team managers/leaders as required.
Bachelor’s degree from accredited college or technical school preferred.
One to three years of general job experience required.
Ability to communicate in a way that is clear, convincing, articulate and well organized.

Initiative and accountability, willingness to effectively work as part of a cohesive team.
Moderate experience in various Microsoft Office products, including Word, Excel and Outlook preferred.
Basic knowledge of applicable laws & regulations related to the human resource profession (DOL, HIPAA, PHI, FMLA, etc.) helpful.
