SUMMARY: Manages KM Operations, manages workflow of Operations Team Members and provides KM Operations support to attorneys, paralegals, support staff and clients.

MANAGEMENT OF KM OPERATIONS TEAM MEMBERS

Direct oversight of the KM Operations Team Members
Assigns tasks and projects to KM Operations Team Members and responsible for ensuring completion of the same

KM RESOURCES ESSENTIAL FUNCTIONS:
KM Databases, Tools and Reporting:
Oversees the coordination and support for all KM electronic research tools, i.e., as all Priory Solutions Products; WestKM, Linex, EOS and attorney facing tools
Oversees and participates in assessment of attorney electronic resource tools needs by analyzing usage patterns, vendors and related management/staff. Constructs and implements related actions in order to consistently and effectively provide attorneys with research tools to best serve our clients
Works with KM management and practice and department chairs, other attorneys and users and vendors to identify and proactively solve pertinent database issues and access problems
Oversees, coordinates and participates in troubleshooting of all KM and research tools, including the management of open tickets, as appropriate
Coordinates and manages the implementation of electronic resources and new technologies, including resources for practice groups, access to electronic publications, and knowledge management initiatives, such as WestKM
Q&A testing for functionality of KM and research tools and reports

Vendor Coordination:
Oversees the integration of lateral subscriptions as needed

License Agreements:
Manages the license processing procedures
Responsible for oversight of maintenance of license agreements in both print and electronic format
Responsible for alerting KM Management of upcoming renewal deadlines and working with DLS to ensure appropriate usage reports are run

Budget Process:
Manages the annual budget process for the KM Department
Participates in the monthly review of the KM Budget
Creates ad hoc budget reports as needed

KM SERVICES ESSENTIAL FUNCTIONS:
Oversees physical collections firmwide, including integration of groups, office mergers and new offices
Responsible for approval of all packing slips and invoices.
Oversees acquisition requests

ADDITIONAL FUNCTIONS:
Participates in special projects as assigned.
Substitute for other staff members as needed.

QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES):
Experience/Education
Bachelor’s degree in related field required; MLS preferred
Minimum of five years of related experience in the legal or professional services industry
Minimum of three years of supervisory experience
Knowledge
Advanced knowledge of Excel and reporting technologies
Financial experience is a plus
Strong experience with legal/Knowledge Management related resources
Understanding of the context of legal research resources and the technology behind them
Working knowledge/understanding of how Library Management System and other technology platforms can be utilized to provide efficiencies to KM staff and attorneys

Ability to work independently with attorneys and vendors to troubleshoot issues
Ability to work in a fast paced environment to independently resolve user issues
Exhibit the time management skills, multi-tasking and shifting responsibilities as needed
Ability to service multiple locations and time zones from a centralized KM hub
Demonstrated ability to adhere to and maintain confidentiality of license agreements and proposals

Outstanding communication skills that enable clear, concise oral and written communication to all levels of the organization
KM Competencies

Understanding KM: Strong working knowledge of the services, goals and initiatives of the department; act as an ambassador of the department during regular interaction with attorneys and staff. Working knowledge/understanding of how KM technology platforms can be utilized to enhance research offerings
KM Resources & Repositories: Strong working knowledge of available resources and tools, including firm intranet in order to meet the information needs of the firm in the most cost effective and timely means possible
Act as an ambassador of the Department during regular interaction with attorneys and staff
