Commercial Banking (CB), one of JPMorgan Chase & Co’s four lines of businesses, provides a full range of services including lending, treasury services, investment banking, commercial card and asset management products to meet its clients’ domestic and international financial needs. This role, within Commercial Banking Finance & Business Management, will provide administrative support for a group of finance professionals with dynamic schedules and significant meeting commitments.
Accountable to several stakeholders, the successful candidate is pleasant to work with, extremely organized, innovative, and flexible. He or she will be most successful if skilled in developing strong relationships and networking, as scheduling and navigating the organization is more efficient when there are effective partnerships.
Day to day duties will include scheduling meetings and appointments, logistics coordination and management of certain projects, travel schedules, processing expense statements and reserving conference rooms as necessary. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. The duties and administrative functions will require confidentiality, initiative, sound decision-making, independent judgment and the ability to escalate serious or unique problems to higher levels.
Actively manage the calendars of multiple team members and work effectively with other administrative assistants to coordinate/plan meetings and conference calls, which may involve numerous time zones
Manage the time away tracking tool for a large team
Book travel (domestic and international) and organize itineraries
Process timely and accurate travel expense reports
Develop and maintain electronic files as needed
Manage general office needs such as ordering supplies, mail distribution, facilities management and floor maintenance
Plan team lunches for overtime and weekend work schedules
Participate in planning of events including periodic planning meetings
Printing of materials for meetings, as requested
Coordinate supply deliveries and maintenance of printers
Partner with other executive administrative assistants to ensure coverage
Minimum 5 years senior executive experience (3 years with Managing Director preferred)
Self-starter, ability to work independently in a fast-paced team environment
Inquisitive and able to learn independently
Strong written and oral communications
Strong organizational and time management
Highly capable in technology solutions including Microsoft Office as well as Boardroom, and Briefcase
Good problem-solving skills
Highly capable in logistics coordination
Coordinate group coverage (i.e., vacations, training and temporary assistance)
