Proven work experience as an executive assistant
Arrange and schedule numerous meetings involving many top tier executives, both internal and external who may be in different divisions and time zones
Maintain and update Executive calendar
Able to handle Executive constantly changing travel, occasionally on weekends
Maintain and organize travel documents; Keep accurate and timely expense account records
Draft, type and proofread, letters, memos, presentations, spreadsheets and other documents
Organize and maintain files for ongoing projects
Grasp understanding of the distribution business in order to be able to prioritize meetings during time-sensitive periods
Maintain a positive attitude and demonstrate ability to be flexible in a rapidly changing business environment
Proficiency in business-related verbal, written and interpersonal skills
Conduct internet and other research as needed
Additional duties as requested
Manage the online brand and presence for the organization (website, social media, etc.)
Keeping website up-to-date
Helping with event coordination
Complete projects in a timely manner by establishing objectives, determining priorities, managing time, and gaining cooperation of others.
Responsible for heavy calendar management.
Update and maintain file systems, marketing material cataloging
Handle confidential materials with outmost discretion, integrity and diplomacy.
Assist in travel logistics by developing itineraries and agendas.
Assist in scheduling and preparation of speaking engagements and video/audio conferencing.
Provide marketing coordination that includes conducting research and website administration.
Measure, analyze and report on marketing efforts
Minimum 3-5 years of experience as Executive Assistant
Demonstrated experience handling heavy volume of scheduling, planning, & logistics
Strong organizational and communication skills—written & verbal
Ability to multitask, be flexible, and work seamlessly under pressure
Expertly tuned sense of decision-making, judgement, and discretion
Solutions-driven and ‘get it done’ mentality
Ease with establishing relationships and operating diplomatically
Proactive, resourceful, detail-oriented, and anticipatory work style
Ability to execute tasks & make recommendations with minimal direction
Ability to work overtime, and on weekends with short notice
Proficient in Microsoft applications (Outlook, Word, PowerPoint, Excel)
Adobe Photoshop and Website/social media
Bachelor or Associate’s degree completed
