The Executive Assistant is responsible for providing executive-level support to the Managing Director of Global Licensing and Strategic Partnerships, while managing a wide range of administrative tasks to optimize the effectiveness and efficiency of the Licensing and Strategic Partnerships department.
Essential Job Responsibilities

Provide executive-level support to Managing Director, including calendar management, expense reporting, conference calls and meetings, organization/filing of reports, following up on daily reminders, tracking reports, product seeding, etc.

Manage Managing Director’s calendar and e-mails to ensure timeliness of meetings and awareness of current priorities.

Assist with department-hosted meetings through note taking, meeting administration, and leveraging project workflow tools like Asana.

Manage the flow of information to ensure inquiries are answered in a timely manner and departmental memos are distributed for action quickly and effectively, especially to C-suite executives.

Maintain Managing Director’s filing system in a logical manner for quick information access.

Collaborate with other Executive Assistants, internal departments, and partners.
- Draft letters, documents and reports with attention to detail and quality.

Write, edit, and proofread documents and emails with accuracy.

Respond to inquiries made to the Managing Director’s office.

Create spreadsheets and run reports as needed.

Assist with various research, inbound emails, and special projects as needed.

Review and submit department expense reports on Concur.

Maintain the office condition and cleanliness, and troubleshoot issues with office equipment and arrange necessary repairs with the Office Services team as needed.

Partner with IT support to resolve hardware, software, and other technical issues that affect the department.

Maintains departmental documents such as organizational chart, vendor lists, contract database, invoices, confidential documents, financial records, travel calendar, etc.

Book Managing Director’s business travel logistics by working closely with the travel department and external partners, as needed.

Perform department admin duties such as scanning, printing, filing, memos to leadership team, etc.

Other duties as assigned.

Education and Experience

College Degree preferred

Experience performing administrative duties in a corporate environment

Two or more years of full-time experience in footwear, apparel, or entertainment industry preferred
The pay range for this position is $70,000-$85,000
