Clinical Solutions, LLC is a multi-faceted, fast-paced mental health agency with 10+ clinicians serving a large population of clientele. The Front Office Assistant/Receptionist will be responsible for supporting all front desk operations and will work alongside the leadership team serving as a principal team member in the administrative role.
Responsibilities include facilitating the highest standard of care through direct interaction with patients during the administrative phases of treatment, supporting clinicians with organizational, clerical, and managerial tasks, partnering with front desk assistant(s) to ensure that daily tasks are completed and expectations are met, and proactively managing all administrative operations to ensure that the office is functioning ethically, efficiently, and orderly as intended.
Additionally, the Front Office Assistant/Receptionist is responsible for executing day-to-day front office duties including answering multi-line phones, maintaining electronic correspondence, scheduling a high volume of patients, checking patients in and out, collecting co-pays, verifying insurance, managing electronic and paper health records, and some light billing duties.
Candidates must possess experience as an assistant in an office/medical/mental health setting and must be able to work well within a team. Individuals should be able to lead by example and should be comfortable with being led as well. Excellent organization, communication (both written and verbal), and memory skills are required. Qualifications and Skills
- Experience as an assistant in an office setting.
- Exemplary communication skills, both written and verbal.
- Excellent customer service abilities and passionate experience with patient care.
- Experience with scheduling is a plus!
- Strong attention to detail and the ability to prioritize and multitask.
- Ability to work independently and within a team. Sound decision making and professional judgment!
- Strong computer skills, including experience with common office programs/software.
- Exceptional time management and organizational skills.
- Ability to work with confidentiality and with a respect for the field of mental health.
Duties
- Scheduling a high volume of patients for 10+ clinicians.
- Answering busy, multi-line phones.
- Patient check in and check out.
- Accepting patient payments.
- Fully utilizing and managing an electronic health records system.
- Opening/closing the office independently.
- Maintaining professional and respectful communication with patients.
- Supporting clinicians with all administrative tasks.
- Fulfilling records requests.
- Reporting to the Director of Administrative Operations.
- Working alongside the leadership team to ensure that administrative operations run smoothly.
- Working alongside front office assistant(s) to ensure that all tasks are complete, and expectations are met.
Job Types: Full-time, Part-time
Pay: From $15.00 per hour
Expected hours: No less than 20 per week
