SAIC is seeking an Executive Assistant/Operations Support Specialist to provide project management, analytical, and administrative support to senior DoD officials at the Department of Defense Office of the Chief Information Officer in all aspects of its mission to Protect, Connect, and Perform.
This is an exciting position that requires close interaction with senior leadership staff within the Pentagon and across the Department of Defense (DoD) acquisition community, including Components, industry partners, academia, international partners, and associations to achieve mission goals and outcomes. Specifically, the Program Analyst/Operations Support Specialist helps our customers solve complex problems; manage project communications, meetings, schedules, risk, policy compliance, and workflow; plan and track travel, budgets, and reporting; and increase workforce productivity through process improvement.
Job duties include:
Serve as the SAIC on-site lead, managing relationships with key stakeholders.
Provide oversight and support to SAIC’s on-site team of five analysts.
Gather information; articulate, analyze, and solve problems; visualize and present information; and provide decision support to achieve mission outcomes.
Create/manage communications for the enterprise, group, and individuals including meeting agendas, briefings, and meeting minutes.
Develop weekly reports on significant activities, report on the effectiveness of events and processes.
Support quarterly and annual working groups.
Track and analyze office workflow tasks using the Correspondence and Task Management System (CATMS); review volumes of data to identify trends.
Develop weekly staff meeting slides including understanding of the context of the most important priorities.
Complete on-boarding and off-boarding of personnel
Handle confidential and sensitive information with tact and discretion
Multi-task effectively in a fast-paced and ever-changing work environment
Edit and format documents in accordance with the DoD Manual for Written Correspondence
Manage executive calendars, coordinate visit requests, de-conflict calendar events, manage speaking engagements.
Manage correspondence and records.
Organize and facilitate internal and external communications on a wide array of subjects including internal and external tasks, program reviews, meetings, congressional events, invitations, speaking events, and resources.
Arrange domestic and international travel for government personnel to accomplish mission requirements efficiently using the Defense Travel System (DTS) in compliance with the Joint Travel Regulations (JTR).
Requires a current TS/SCI security clearance.
Five years relevant work experience in an office environment in addition to a bachelor’s degree; nine years relevant work experience required without a degree.
Strong leadership, problem identification/resolution skills, flexibility, initiative, and a proven ability to work with Senior Executives efficiently and effectively (to include experience interfacing/communicating with Senior Executive leadership in both government and industry).
Experience writing white papers, briefings, correspondence, and reports.
Experience with Defense Travel Service (DTS) and data transfers.
Excellent computer skills in MS Office (Word, Excel, PowerPoint) and databases.
