The Meeting & Events Planner is responsible for the planning, coordination and execution of activities and special events.
Essential Job Functions:
- Manages activation events calendar, Eventbrite listings, monthly newsletter and assists with creation and online dissemination of RA Cookbook
- Promotes employee engagement, satisfaction, and overall well-being by developing and executing unique employee events and experiences
- Creates reservations within EMS Reservation System for activities in the amenity spaces and in the Cooking School with proper coding
- Serves as the point person for the host during meetings. Coordinates with audiovisual team for ad hoc AV support requests from meeting participants.
- Oversees the amenity spaces at designated UBS sites. Performs regular walkthroughs of amenity spaces to ensure furniture is consistently presentable, there are no old/outdated signage, etc. Report all maintenance faults/hazards and cleaning requests to the appropriate personnel. Escalate to General Manager if necessary.
- Stays within budget limitations set by Management. Ensures invoices from vendors associated with activation events are submitted to Finance in a timely fashion.
- Reports on sales and attendance for all events and takes proactive steps to increase sales and event participation.
- Ensure seamless communication flow with clients before, during and after the execution of their events.
Qualifications:
- Experience in corporate, conference center or hotels events experience.
- Ability to work a flexible schedule including occasional evenings as needed. This is an in-person position.
- Effective negotiating skills managing outside vendors’ relationships.
- Excellent oral and written communication skills.
- Excellent organizational skills, with the ability to work under pressure, prioritize, and multitask.
- Strong computer skills and knowledge of office technology / equipment. Knowledge of EMS is a plus
- Discreet, ethical and committed to maintaining a high degree of confidentiality.
- Punctual, dependable and dedicated to achieving excellence, down to the smallest of details.
- Experience in conducting post-implementation discussions with client management and other team members to determine satisfaction levels.
