POSITION TITLE: Executive Assistant to the Senior Staff

REPORTS TO (TITLE): Executive Director


Classification: Exempt, not eligible for overtime

MAJOR PURPOSE OF THIS JOB: Executive Assistant is responsible for the administrative support to the Executive Director and the senior staff at the Center.


  • Performs varied administrative tasks for the senior staff, including filing, mailings, communications, scheduling, and other special projects
  • Restructures, condenses, and updated as directed, overseeing data management in various databases
  • Manages and maintain various calendars
  • Prepares various sales, attendance, and enrollment reports
  • Prepares donor/membership acknowledgement letters
  • Responsible for overseeing senior staff’s itineraries and expense reports
  • Drafts performance contracts
  • Books, confirms, and arranges payment for hotel reservations for performers
  • Prepares reports, memos, letters and other documents for senior staff
  • Open, sort, and distribute incoming correspondence for Executive Director, including faxes and email
  • File and retrieve/store corporate documents, records, and reports
  • Prepare responses to correspondence
  • Order and distribute office supplies*
  • Prepares new employee/intern welcome packages and other paperwork
  • Oversees new employee orientation and processes resignations
  • Liaison for all human resource services – health insurance, vacation leave, sick leave,
  • Advertises for open positions
  • Develops, Implements and manages various intern program
  • Organizes company functions
  • Assume other responsibilities as assigned
  • Troubleshoots internal technical computer, printer, copier problems as able with support from outside technical consultants

  • Sit, stand, walk and work at a computer, relative to an office environment
  • Ability to work a flexible work schedule, including weekends and evenings, as required


  • BA degree
  • Proficiency in MS Office
  • Superior customer service skills in person and by phone with a demonstrated ability to use tact and diplomacy when dealing with difficult situations
  • Detail oriented with exceptional organizational and time management skills
  • Excellent written, oral, and presentation communication skills
  • Excellent interpersonal skills with strong problem-solving experience
  • Superior project management skills and the ability to handle multiple activities simultaneously
  • Demonstrated ability to develop strong volunteer and professional partnerships and alliances
  • Proven ability to work independently and in a team-based environment
