Business Assistant

We are looking for someone proactive, creative, and detail-oriented with excellent written communication and organizational skills to be an executive assistant to the owner. My company has been in the IT infrastructure business for over ten years and have an established team in place which would benefit from occasional help as we continue to grow. Your responsibilities would vary as you would also be working to execute duties for this business and other ventures and personal tasks. Completion of some tasks would entitle you to a bonus or commission upon completion.


  • Service our companies as administrative assistant
  • Respond to multiple requests/day from associates, many of which include tasks that must be done that day. Availability to communicate nights/weekends is also a plus.
  • Coordinating technicians scheduling, updating notes and project management software, posting advertisements and managing social media account
  • This role is starting between 20-40 hours per week with potential for more income depending on abilities

Tasks and Responsibilities

  • Schedule technicians, update deliverable’s
  • Online Research
  • Deliver equipment
  • ensure all properties have been properly cleaned
  • Review guests
  • Book all travel arrangements, including lodging, transportation, and activities both within the United States and internationally
  • Assist with monitoring of my inbox and emails, including responding to business contacts
  • Manage online platforms
  • Handle incoming calls
  • completing vendor registrations and contract research

Knowledge & Skills

  • Ability to manage multiple incoming requests, while ensuring they are relayed or handled at the appropriate time, in the necessary order and in the correct manner
  • Strong speech and writing skills
  • Intermediate level in Microsoft Suite
  • Some travel may be required
  • Ability to quickly learn new software applications
  • Capability to set up new systems and processes in order to streamline business and personal functions
  • Preferred, but not required, design experience such as photoshop/adobe suite
  • Preferred, but not required, social media savvy

Education and Experience

  • At least 2+ year experience as a virtual assistant for a business owner
  • Ability to handle several emails and requests per/ day
  • Exceptional ability to communicate progress on multiple projects
  • Highly organized and efficient
  • Trustworthy with strong personal integrity
  • Forward-thinker who can proactively handle circumstances and situations to head off any crisis situations
  • Experience managing calendars
  • Must be reachable during the hours of 8AM - 6PM PST and respond to messages within 2 hours
  • Top notch communication via email and phone, internally and externally
  • Proven ability to prioritize tasks
  • Perfectionist, super attention to detail
  • Self-starter, self-motivated, and able to work independently with minimal oversight
  • Must be an out of the box thinker
