Position Summary & Responsibilities:
The position (K0217541) Seeking enthusiastic Senior Administrative Specialist for KSWebIZ, a web-based life cycle database for statewide immunizations. Successful candidate will be a working together with other staff to assist health care providers with technical assistance, while providing polite and professional assistance via phone, e-mail, and in person. To be successful as a KSWebIZ Technician, applicants should excel at both verbal and written communication, including the ability to convey technical information to non-technical individuals. Requirements for this position include a professional and polite disposition, attention to detail and have strong analytical skills. Individuals in this position must also be customer-oriented and display patience when dealing with difficult issues.
Job Responsibilities may include but are not limited to the following:
Responds to helpdesk phone and email inquiries, direct calls and emails requiring specific information to appropriate Immunization Program staff, and compiles and distributes messages when needed. Works closely with over 320 Vaccines for Children (VFC) providers to assist in monthly inventory reconciliation reports and on-hand inventory. Verify and update provider and end user contact information and settings in KSWebIZ and provider database. Understanding of system requirements for all browser types to ensure all technical helpdesk inquiries are acknowledged, investigated, and resolved.
In partnership with the second KSWebIZ Technician, coordinate scheduling and tracking of all training sessions. Facilitate training sessions by traveling to user’s location for in-person training or connecting with users for online training. Provides new user and refresher training sessions for all user types. Comprehensively understand system functionality including all enhancements and bug fixes to assist and educate end users on changes. Collaborate with Kansas Immunization Program staff to coordinate training needs and development of procedures and user manuals for end users.
High School, GED
Licensing & Certification
Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State.
Three years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.
