Administrative Assistant II Responsible for preparing, processing, and distributing federal and state notification letters and reports. Reviews and processes survey/inspection, complaint, and desk review packets for assisted living facilities, nursing facilities, unlicensed facilities, home health/hospice agencies, intermediate care facilities and day activity facilities. Performs technical review to ensure completeness and accuracy of survey documents. Completes all data entry in s and federal automated reporting systems in a timely, accurate and efficient manner. Maintains files and completes open record requests. Communicates with others (internally and externally) to provide, exchange, verify information, answer inquiries and address issues. Successfully completes required training and all additional state required training in a timely manner. Displays professional attitude, actions and work attire. Assists with switchboard and office phone rotation coverage requiring flexible lunch schedule. Attends work on a regular and predictable schedule in accordance with agency leave policy. Performs other duties as assigned by the Program Manager.

Essential Job Functions:

Ability to learn how to prepare, process, and distribute federal and state enforcement notification letters and reports. Ability to review and process survey/inspection and complaint packets for all assigned facilities. Ability to review completeness and accuracy of survey documents. Ability to complete all data entry in the state and federal automated reporting systems in a timely, accurate and efficient manner. Ability to communicate with others (internally and externally) to provide, exchange, verify information, answer inquiries, and address issues. Must successfully complete required training in a timely manner. Must display a professional attitude, actions and work attire. Must attend work on a regular and predictable schedule in accordance with agency leave policy. The position may be assigned to support or provide coverage in other units and perform other duties as assigned by the Program Manager.

Knowledge Skills Abilities:
Prefer demonstrated successful experience in a clerical or administrative assistant position. Prefer experience completing data entry in a timely, accurate and efficient manner. Prefer experience supporting a unit with multiple staff and organizing complex work activities. Prefer experience professionally communicating complex information orally and in writing.

Registration or Licensure Requirements:
Prefer graduation from high school and progressive training in office or clerical positions.

Initial Selection Criteria:
Demonstrated ability to provide administrative support for a complex and diverse regulatory unit program. Demonstrated successful experience in a clerical or administrative assistant position.

Additional Information:
The position will be located in Lubbock, Texas. This position has a six (6) month probationary status. Applicant must not have been convicted of a job-related misdemeanor or felony offense as listed under Health and Safety Code §250.006.
